Job Description: As an HVAC Billing Specialist at R&R Heating, you will be crucial in ensuring that our new construction projects are billed accurately and efficiently. You will work closely with the project management and accounting teams to schedule jobs, maintain organized records, and facilitate the billing process. This role requires attention to detail, excellent organizational skills, and the ability to manage multiple projects simultaneously.


Key Responsibilities:


  1. Billing and Invoicing: Prepare and issue accurate invoices to builders and contractors for HVAC installation services rendered. Verify billing information, including labor, materials, and equipment costs. Also working with AP and AR
  2. Record Keeping: Maintain organized and up-to-date records of all new construction projects, including contracts, change orders, and invoices.
  3. Communication: Act as a liaison between project managers, accounting, and clients to resolve billing inquiries, discrepancies, and issues in a timely and professional manner.
  4. Quality Control: Verify that all work completed aligns with the project specifications and agreements before billing. Address any discrepancies or issues promptly.
  5. Data Entry: Accurately enter billing and project information into the company's accounting software.
  6. Documentation: Create and maintain comprehensive project documentation, including project schedules, progress reports, and billing records.
  7. Reporting: generate regular reports summarizing project billing status, outstanding payments, and project schedules.
  8. Customer Service: Provide exceptional customer service to builders, contractors, and project stakeholders, addressing their billing and scheduling inquiries promptly.


Requirements:

Qualifications:

  1. High school diploma or equivalent; a degree in accounting, finance, or a related field is a plus.
  2. Previous experience in billing, \, or project coordination, preferably in the construction or HVAC industry.
  3. Proficiency in accounting software and Microsoft Office Suite (Excel, Word, Outlook).
  4. Excellent organizational skills and the ability to manage multiple tasks simultaneously.
  5. Strong attention to detail and a commitment to accuracy.
  6. Effective communication and interpersonal skills.
  7. Problem-solving skills and the ability to work independently.
  8. Knowledge of HVAC systems and construction terminology is an advantage.
