We are seeking a dedicated Office Manager that will serve as the chief of staff to the Director of Operations, ensuring smooth and efficient operation of the school office. This role includes managing the master schedule, coordinating special events, tracking teacher and staff time off, arranging for substitutes, and monitoring the attendance of both students and staff. The School Office Manager will be the first point of contact for families and staff, requiring exceptional communication, interpersonal, and organizational skills.
Key Responsibilities:
- Master Schedule Management: Develop and maintain the school’s master schedule, ensuring all classes, activities, and events are accurately scheduled. Coordinate with teachers and staff to manage any changes or updates to the schedule.
- Special Events Coordination: Plan, organize, and execute special events, including school-wide activities, assemblies, and parent-teacher meetings. Collaborate with various departments to ensure all logistical details are managed. Help with any of the creative and tactical logistics of events.
- Teacher and Staff Time Off: Track and record teacher and staff time off, ensuring accurate documentation and reporting. Arrange for substitute teachers and staff as needed, maintaining a roster of reliable substitutes.
- Attendance Monitoring: Monitor and record daily attendance of students and staff, ensuring accuracy and compliance with school policies. Follow up on any attendance issues, including communicating with families and staff as necessary.
- Chief of Staff Duties: Act as the primary support to the Director of Operations, assisting with administrative tasks, scheduling meetings, and managing correspondence. Handle confidential information with discretion and professionalism.
- First Point of Contact: Serve as the first point of contact for families and staff, providing information, answering questions, and directing inquiries to the appropriate person or department. Maintain a welcoming and professional environment in the school office.
- Communication and Interpersonal Skills: Develop and maintain positive relationships with families, staff, and the broader school community. Communicate effectively and professionally in both written and verbal forms.
Organizational Skills:
- Maintain organized records and files, ensuring easy access and retrieval of information.
- Implement and maintain efficient office procedures and systems.
Education Requirements:
- Bachelor’s degree in Business Administration, Education, or a related field preferred.
- Minimum of 3-5 years of experience in an administrative or office management role, preferably in an educational setting.
Knowledge and Skills:
- Excellent communication, interpersonal, and organizational skills.
- Proficiency in office software, including Microsoft Office Suite and school management systems.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
Job Type: Full-time
Schedule:
- Typically, Monday to Friday, with occasional evening or weekend hours for special events.
Work Location: In person. School office environment, requiring regular interaction with students, staff, and families.
Physical Requirements:
- May require bending, lifting, and standing for extended periods.
