Job Description and Duties

Position Description: The Dental Office Treatment Coordinator will play a key role in executing the day to day administration and coordination of the dental office. The Treatment Coordinator’s primary responsibility is to facilitate the patient’s office experience in being seamless and ensure the patient leaves well informed and prepared for their next appointment. This includes ensuring the patient understands their treatment plan, the benefits of treatment, insurance benefits, assisting with financial arrangements, coordination of appointments and collection of payments. We are looking for someone who is confident working with insurance companies and understands the intricacies of HMO and PPO insurance benefits and coverage details for patients and able to convey them in an easy to understand manner to the patients. This position is an integral part of the practice operations and is only suitable for dynamic, resourceful individuals who thrive in fast-paced environments and love to build genuine connections with people. The applicant must have commanding communication skills, superior time-management and show that they are adaptable in any scenario as well.

Responsibilities for Dental Treatment Coordinator:

  • Prepare and present treatment plan and financial estimates to patients for all prescribed treatment using Dentrix
  • Schedule patient treatment appointments; reschedule patients that miss their appointment and call patients that have not completed treatment.
  • Manage charts/notes for treatment plans, treatment conferences, letters and phone calls
  • Complete pre-authorizations and pre-determinations.
  • Handle all treatment paperwork including consent forms, policy forms and exit paperwork.
  • Audit patient accounts at the end of the day and ensure clinical notes are completed by staff and submit claims
  • Check in patients and ensure new patient paperwork is completed in full and data entered into the PMS
  • Work with clinical and administrative teams to effectively manage daily patient flow, providing communication and information to the appropriate individuals and ensure efficient use of appointment times.
  • Ensure lab cases are sent out timely, received and ready for delivery for scheduled patients atleast 1 day prior
  • Effectively communicate and develop a strong working relationship with the clinical team and promote teamwork through cooperative and professional behaviors.
  • Assist patients with financial arrangement, check patients out, collect payments and schedule follow up appointments as necessary.
  • Answer and return incoming calls.
  • Follow and demonstrate commitment to the company policies, professional expectations and Service Excellence Standards.
  • Implement and coordinate the day-to-day execution of office processes that increase productivity and efficiency
  • Update and maintain patient accounts with accurate payment postings, credit balances and receivables
  • Take responsibility for the appearance and functionality of the office
  • Assist in end of day office closing activities
  • Ensure compliance with HIPAA and OSHA standards and requirements in all interactions.
  • Be a Team Player and assist team members as needed
  • Perform all duties with utmost honesty, integrity and humility

Qualifications for Dental Treatment Coordinator:

  • Bachelor's or Associate's Degree preferred. High School Diploma is required
  • A minimum of 2 years of dental administration experience is required
  • Dental Treatment Coordinator certification is preferred
  • Working knowledge of dental terminology, dental insurance, dental office procedures and dental office workflow
  • Working knowledge of basic accounting and administrative principles and procedures to maintain patient ledgers accurately
  • Working knowledge of insurance plans and claims processing
  • Hands-on knowledge of Dentrix or similar software required
  • Working knowledge of MS Office and basic computer softwares and functions
  • Organization, time management and multitasking abilities.
  • Positive attitude and professional appearance
  • Working knowledge of dental terminology
  • Excellent communication and interpersonal skills
  • Proven ability to follow outlined policies and guidelines
