We are looking for a legal assistant for our Williamsport office that will perform a variety of tasks to assist clients with estate and long-term care planning, and estate administration tasks related to estate, probate, and trust administration.

The ideal candidate will be organized, and have great communication skills along with attention to detail. On-the-job training is provided and no legal background is required. This role will regularly interact with clients, financial advisors, and other professionals while ensuring that files are organized and ready for appointments.

Responsibilities

  • Assist clients or potential clients with scheduling appointments or initial consultations, while providing great customer service
  • Work with clients and attorneys to complete the estate administration process, including probating estates, preparing legal documents for attorney review, gathering the decedent’s asset information, preparing the Pennsylvania inheritance tax return, and communicating with the Department of Public Welfare, all following the firm’s procedures
  • Organize and maintain the calendars for various staff members to ensure all appointments are correctly and promptly added
  • Prepare and proofread correspondence like letters, emails, and other documents and communication information to clients and other professionals
  • Compile client assets into client information and asset listing to assist with estate and long-term care planning
  • Telephone calls with new clients to gather information prior to their appointment with our office
  • Answer phone calls, direct callers to an appropriate staff member, and/or e-mail the appropriate staff member a message related to the call
  • Attend appointments with the attorneys and interact with clients and referral sources serving as witnesses and/or notaries during signing appointments
  • Perform general operational tasks like answering phones, copying, scanning, mailings, and postage, assisting drop-in clients, filing paperwork, handling voice mail messages, etc.
  • Work to make client satisfaction a top priority, finding quick resolutions to client complaints and concerns

Qualifications

  • An Associate’s degree or some college is preferred; a high school diploma or equivalent is necessary
  • Ability to comfortably use Microsoft Office products (especially Word and Outlook)
  • Proven ability to handle high-volume workloads
  • Professional written, telephone, and interpersonal skills
  • Notary License preferred but not required
