Office Receptionist


Position Summary:

Office Receptionists are responsible for taking care of our buyers and sellers needs when picking  up or dropping off items bought on an auction. As the first point of contact either by phone or in  person, you will welcome guests positively and execute all administrative tasks to the highest  quality standard possible. 


Reports To:

Office Manager 


Duties/Responsibilities

  • Greet and welcome guests as soon as they arrive at the office 
  • Direct customers to the appropriate person to talk with if they are dropping or picking up  auction items 
  • Answer, screen and forward incoming phone calls to the respective parties with the highest level of professionalism representing the company
  • Provide basic and accurate information in-person and via phone/email 
  • Ensure auction items are being paid for, customers are being followed up with, and accurate notes are being kept on invoices for items being paid and picked up.  
  • Ensure the reception area is tidy, presentable, and stocked with necessary stationery and  materials. (pens, notepads, advertising for upcoming auctions). 
  • Receive, sort and distribute daily mail/deliveries 
  • Package and set up postage for all customer shipping items
  • Communicate with Office Manager when office supplies are needed (paper, pens, notebooks, bathroom materials, etc.) 
  • Perform other clerical receptionist duties such as scanning, filing, photocopying, transcribing, splitting pictures, auction accuracy, and assisting with haul backs on transfer sheet, etc.
  • Help facilitate inventory transfers from one HAG location to another 
  • Responsible for handling all forms of payment for auction invoices
  • Follow cash-handling procedures of the company 
  • Assist in on site cataloging when needed
  • All other duties/responsibilities as assigned

Requirements and Qualifications

  • High school diploma required 
  • 2+ years of experience in customer service
  • Associates or Bachelor Degree encouraged
