SUMMARY:

Under the supervision of the Director of Transportation, the Fleet & Safety Coordinator is responsible for the day-to-day management of safety, training and the entire fleet of vehicles at PACE Southeast Michigan.
This administrative and operational role primarily focuses on coordinating fleet maintenance and repairs. In this role, you set a preventative maintenance schedule and track the completion of these maintenance tasks by external vendors, such as mechanics.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

Fleet

  • Schedule fleet maintenance and repairs; assures that all vehicles are kept in safe and satisfactory working order according to vehicle maintenance schedules.
  • Maintain relationships and work with external vendors, including mechanics
  • Maintain a database of vehicles
  • Maintain driver information in current TMS
  • Assist with vehicle purchases and replacements
  • Take receipt of new vehicles ensuring proper documentation and insurance
  • Assist with process improvement
  • Advise of appropriate number of vehicles needed per census
  • Ensure compliance with DOT regulations
  • Vehicle inspections
    • Ensures all vehicle inspections are completed on schedule, stickered, and documented accordingly.
    • Ensures all DOT, BLS, and DLs are renewed in a timely manner.
  • Maintains bi-weekly vehicle audit schedule is maintained and supplied.
    • Spot check 10% of fleet in rotating order when visiting centers bi-weekly
  • Maintains an appropriate stock of supplies at each center (including engine oil, windshield washer fluid, isopropyl alcohol spray)
  • Inspect, analyze, and report ALL accidents and incidents on vehicles to identify fault point and provide appropriate responses.
  • File Insurance claims and Worker Compensations cases.
    • Ensure drivers complete required pre-trip and post-trip inspects
    • Respond to vehicle breakdowns, accidents, and transfers.
      • Report to scene of accident to fill out proper reporting for liability and insurance purposes
      • Work with manager of responsibility to ensure post-accident screening occurs at occupational health
    • Planning your health and safety program and protocols
    • Teaching supervisors, managers and other leaders in the company about health and safety standards
    • Presenting safety training sessions to the company
    • Ensuring compliance with OSHA, federal and state regulations
    • Handling risk assessments to gather information on safety issues
    • Verifying that employees consistently follow safety protocols
    • Analyzing health and safety data
    • Reviewing and recommending changes to regular activities
    • Develops, implements, coordinates, and supervises department-wide training and safety activities.
    • Develops safety goals, objectives, policies, and priorities
    • Provide employees comprehensive safety and training orientation
    • Establishes and maintains education, training and activity files, prepares reports and makes recommendations relative to safety policies and procedures
    • Review and track division accidents and incidents; lead staff discussion with an aim to promote a culture of incident prevention and risk mitigation; prepare reports on safety violations which may result in disciplinary action. Conduct accident/incident inquiries, including post-incident interviews, reporting procedures and filings/documentation. Coordinate with city risk and safety staff on claims and safety and risk initiatives
    • Maintain EHS software
    • Performs other duties as necessary, assigned, or requested by Transportation management.

JOB REQUIREMENTS:

  • Bachelor’s Degree preferred.
  • Requires a minimum of five (5) years of progressively more responsible work experience in related field.
  • The ability to lift and/or carry 100 pounds or more.
  • Must be medically cleared for communicable diseases and have all immunizations up-to-date after engaging in direct participant contact.
