Job Summary:

This position provides organizational coordination and assistance specific to administrative operating needs to each of the departments in Mountain Operations; including ski area admin, seasonal dispatch, snow surfaces, vehicle maintenance, lift maintenance, lift operations, guest services and ski patrol. This includes taking a lead on our mountain dispatch team, environmental regulation management, and supporting the Administrative Supervisor and Senior Director of Mtn Operations with varied tasks and projects as assigned. The position will work with the management team in database and record-keeping programs, contract administration, communication systems and other duties as arise in a changing environment.

 

Job Specifications:

  • Expected Wage Range: $22.00 - $33.12 / hour
  • Shift & Schedule Availability: Full Time, Year Round
  • Skill Level: Advanced

 

Job Responsibilities:

  • Office Administration – Record maintenance, correspondence, manufacturer and product research, inventory, systems support

  • Dispatch team lead - training, on mountain and base operations dispatching support, dispatching duties during busy periods, and emergency coverage as needed

  • Personnel Administration – such as, on-boarding & off-boarding coordination, support human resource functions

  • Management of the radio fleet communication system - such as, auditing and servicing needs for Stowe hand held, mobile and repeater radio units

  • Maintenance of work orders in vehicle and lift maintenance

  • Schedule, attend, document meetings for reference to the different leadership teams (including Best Practice

    Group meetings, capital project meetings, special projects, etc.)

  • Provide administrative support, including but not limited to; environmental compliance, project planning

    /support, submitting invoices to A/P, ordering office supplies, photocopying, mail, scanning, filing, etc.

  • Procurement - use enterprise procurement systems to purchase and receive goods

  • Payroll administration, scheduling and resource management

  • Understand financial reporting and basic accounting systems, including budgeting, capital planning, payroll,

    expenses, A/P and A/R processes

  • Scheduling of calendars, meetings, events and travel arrangements

  • Provide support to all Managers and Supervisors during peak times or when required.

  • Strategic planning and administration of procurement, inventory control, and asset audits

  • Identify challenges and solve a multitude of issues

  • Other duties and special projects as assigned

  

Job Qualifications:

  • Min 3 years’ experience working in administrative roles.

  • Proficient with computer software packages including Excel, Word, PowerPoint and Outlook.

  • Previous exposure to (or similar systems): PeopleSoft, Coupa, SharePoint, and OnBase an asset as well as

    administrative experience.

  • Proven ability to maintain a high level of confidentiality.

  • Excellent verbal and written communication skills.

  • The ability to thrive in a fast-paced, multi-tasking environment and adapt to changing priorities; remain flexible

    and approachable.

  • Organizational, analytical and problem-solving skills as well as adaptability and the ability to work under

    pressure.

The expected pay range is $22.00 - $33.12. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
