The Receptionist will be responsible for overseeing the intake process for all incoming service requests, ensuring a seamless and efficient experience for customers. This role in the intake coordinating with various departments and maintaining high customer service and satisfaction standards.
Key Responsibilities:
- Collect intake information from clients, ensuring accuracy and completeness of all details provided.
- Enter client information into document management systems, maintaining organized and easily accessible files for efficient retrieval.
- Conduct initial screenings to determine client service eligibility, following established criteria and guidelines.
- Provide general administrative support to the legal team, including drafting correspondence, proofreading documents, and managing calendars.
- Handle inbound potential customer calls efficiently, addressing inquiries, scheduling appointments, and providing accurate information.
- Maintain excellent customer relations by demonstrating professionalism, empathy, and effective communication skills, ensuring customer satisfaction and loyalty.
- Effectively multitask in a fast-paced environment, managing multiple calls and tasks simultaneously while maintaining attention to detail and accuracy.
- Handle stressful situations with composure and problem-solving skills, remaining calm under pressure to provide effective solutions and support to distressed customers.
- Receive service requests from clients via phone, email, or online platforms.
- Enter and maintain accurate information in the dispatch system, including client details, service requirements, and team assignments.
