POSITION DESCRIPTION

Position:Building Department Administrative Clerk

Reports to:Building Official

FLSA Status: Non-Exempt, Regular Part Time, 28 hours per week

Benefits: As established by Township policies

General Responsibilities:

Entry level position under direct supervision of the Building Official with emphasis on day-to-day functions of the Building Department related to both the needs of the public and regulatory obligations.

Essential Duties and Responsibilities:

Frontline customer service duties such as answering telephone calls, greeting walk-in customers, and addressing routine inquiries.

Process building permit applications and verify issuance of county permits including: verifying contractor licensing and contact information; checking plans; data entry into BS&A system; submitting for zoning and building review; contacting applicants regarding costs; and issuing certificates of occupancy.

Administer inspection requests including: retrieving requests from phone system; inputting requests into computer permitting system; processing inspections for individual inspectors; running and communicating inspection schedules for each inspector; and entering inspection results into permitting system.

Provide water meter and sewer tap invoicing information to the Treasurer.

Process commission reports for inspections; verify inspections and commission amounts; and enter data into corresponding reports and check requests.

Prepare Building Department correspondence; generate reports for month end procedures; communicate with service providers; and order departmental supplies.

Respond to Freedom of Information Act (FOIA) requests pertaining to the Building Department records.

Create and maintain record files; file related correspondence, inspection permits, plans and other documents; and file completed permit files in archives.


Position Qualifications:

Education requirements include a high school diploma/GED equivalent.

Proficiency in Microsoft Office applications and general office environment equipment. Experience with BS&A Software desired.

Ability to work under pressure of deadlines and with frequent interruptions.

The position requires strong teamwork and customer service skills necessary to effectively interact and maintain effective working relationships with co-workers, vendors, customers, and the public.

Perform additional duties and responsibilities as assigned.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to finger, handle, feel or operate objects, tools, or controls, and is occasionally required to reach with hands and arms.The employee must regularly lift and/or move items of moderate weight, including file boxes, portable computers, etc.The employee must occasionally drive a vehicle, walk, stand, climb, balance, bend, stoop, kneel, crouch or crawl.Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision, and ability to adjust focus.

Supplemental Information

1. Hourly Rate: $16.40 to $19.30 per hour depending on qualifications.

2. Working Hours: Office hours are Monday Thursday from 9:00 a.m. to 4:00 p.m. 4 days per week.On rare occasion, additional hours may be required.
