The Medical Assistant/Intake Specialist will be responsible for the coordination and assistance of care regarding forensic medical examinations for victims of child abuse. Services include assisting referrals agencies and non-offending caregivers in the scheduling of forensic medical evaluations, assisting the forensic medical provider in the collection of evidence, education and support to the non-offending caregiver, oversight of the child victim while the medical provider meets with the caregiver, coordination of follow-up services, records retention and handling records request, and providing organizational support to help ensure effective service provision. This position requires commitment to the mission of the Child Advocacy Center. This is a full-time position which requires working flexible hours and sharing on-call responsibilities. The Medical Assistant/Intake Specialist works under the direction and supervision of the Senior Child and Family Advocate and/or the Executive Director.

Job Objectives:

- Provide emotional and organizational support for the victim and any non-offending caregiver to help them feel welcome and comfortable at the CAC.

- Provide coordination to the victim and their family through the coordinating of medical service provision, as needed, to appropriate outside referrals.

- Ensure accurate billing practices for timely processing.

- Assist medical provider in the preparation of the medical appointment, paperwork and throughout the medical evaluation, to include scheduling for initial and follow-up appointments, supervising the child if the medical provider must meet with the caregiver alone, accompanying family to the lab and x-ray and seeing that their questions are answered.

- Records retention, the handling of medical related subpoenas and records requests.

- Maintain knowledge of the needs of the facility to ensure efficient purchasing for medical supplies.

- Support clinical CARE House staff in scheduling related activities such as scheduling and cancelling appointments. Notification of referral sources for scheduling, no shows, modifications and other. Tracking of no-show appointments to improve access to services for families wanting of services, decrease no shows, and improve billing revenue.

- Input of medical or intake related information into NCA tracking system.

- Family history completion for forensic interviews as needed.

- Maintain as a SCCAMRS contact and liaison between the CAC, SCCAMRS, Palmetto Richland SANE program, local hospitals and Medical Provider; including tracking medical provider’s service provision, medical report response time, and requirements for inclusion as a SCCAMRS provider.

- Organization of medical provider trainings; to include securing location, invitation and invite list, sign-in sheets, evaluations.

- Facilitate on call services when needed

Qualifications

- Minimum of a High School diploma and medical training. Preferred Bachelor’s Degree.

- Working knowledge of services provided by a Children’s Advocacy Center.

- Excellent oral and written communication skills.

- Working knowledge of computer programs for data entry and record tracking.

- Ability to perform duties in a fast pace setting and to handle multiple tasks simultaneously.

- Ability to represent program to community agencies and general public in a positive manner.

- Ability to maintain client/family confidentiality.

- Ability to work independently as well as part of a team.

- Strong organizational skills.

- Knowledge of community resources.

Physical Requirements:

Hearing: Adequate to perform job duties in person and over the telephone. Speaking: Must be able to communicate clearly to patients in person and over the telephone. Vision: Visual acuity adequately to perform job duties, including reading information from printed sources and computer screens. Other: Requires occasional lifting and carrying items weighing up to 10 pounds unassisted in normal daily activities and up to 30 lbs. for other required work activities. Additionally, requires frequent bending, reaching, and repetitive hand movements (especially if keyboarding and writing), standing, walking, squatting, and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular work shift.
