Job Summary:

Are you passionate about beauty and want to grow your career? We are seeking a personable, organized, and professional Front Office Coordinator to join our esteemed plastic surgery practice. The ideal candidate will be the first point of contact for patients, providing exceptional customer service and administrative support. At the front desk, you will play a crucial role in creating a positive and welcoming environment for our patients and ensuring smooth front office operations.

Preference shown to professionals with experience in plastic or dermatology front office, strong computer and customer service skills. The ideal candidate will be professional, caring, efficient, organized, and able to multitask.

Responsibilities:

Patient Interaction

  • Greet patients warmly and ensure a positive and welcoming experience from the moment they enter the practice
  • Assist patients with check-in and check-out procedures, ensuring accurate and up-to-date information
  • Answer phone calls, address inquiries, and schedule appointments with a high level of professionalism

Appointment Scheduling

  • Manage the appointment schedule, ensuring optimal utilization of provider time
  • Coordinate and confirm patient appointments, providing necessary information and instructions

Patient Registration and Records

  • Collect and verify patient information ensuring accuracy and completeness
  • Maintain and update patient records in the electronic medical records system
  • Assist with obtaining necessary authorizations and referrals for procedures

Administrative and Office Support

  • Handle general administrative tasks, including filing, scanning, and organizing documents
  • Manage incoming and outgoing correspondence, including emails and faxes
  • Post superbills and run daily reports for financial reconciliation
  • Ensure the reception area is clean, organized, and presentable
  • Coordinate with maintenance staff for repairs or improvements as needed
  • Provide administrative support wherever necessary

Patient Education

  • Provide basic information to patients regarding procedures, pre-operative and post-operative care, and practice policies
  • Distribute educational materials and resources as needed

Coordination with Clinical Staff

  • Collaborate with the clinical team to ensure a seamless flow of patient care from the front office to the examination rooms
  • Communicate effectively with nursing and medical staff regarding patient arrivals and special requirements

Patient Satisfaction

  • Gather feedback from patients and address any concerns or issues promptly
  • Strive to enhance patient satisfaction by creating a positive and efficient front office experience

Qualifications:

  • Required:
    1. Education: high school diploma or equivalent 3 years related job experience
    2. Excellent customer service and communication skills
    3. Familiarity with electronic medical records systems, preferably Nextech
    4. Proficient in basic computer skills and office software
    5. Proven time management and organizational skills
    6. Demonstrated initiative (self-starter)
  • Preferred:
    1. College degree
    2. 3+ years’ experience in a medical office
    3. Experience in scheduling patients
    4. Experience working in Plastics, Cosmetic, or Dermatology office
    5. Proficient in Microsoft Office (word and excel) and Nextech
