General Description:

Under the supervision of a higher classified employee, the Support Staff A will perform a wide variety of secretarial, clerical and recordkeeping duties requiring a high degree of accuracy and specialized knowledge of department activities. Work is performed under general supervision and coordinated by an Office Coordinator. General duties include but are not limited to creating correspondence, processing licenses and permits, scheduling inspections, routing mail, office supply inventory and assisting with FOIA requests. This position requires frequent professional interaction with the public and independent work under established protocols and guidelines.

Duties:

An employee in this position may be called upon to do any or all of the following: (does not include all tasks employee may be expected to perform).

  1. Types a wide variety of memos, reports, and correspondence from rough drafts or transcriptions.
  2. Processes and issues licenses and permits for the Community Development Departments.
  3. Assists with the preparation and distribution of agendas and public hearing notices.
  4. Processes and schedules inspection requests and follow up inspections as required.
  5. Process departmental payments through accounts payable.
  6. Opens and routes department mail, answers routine correspondence and requests for information.
  7. Greets visitors and answers telephone calls, answers or directs inquiries to the appropriate party.
  8. Provides secretarial support to department professionals and technical staff as required.
  9. Performs miscellaneous related duties as assigned.

Qualifications:

  • High School Diploma, or equivalent, supplemented by substantial coursework in data/word processing, office administration and related subjects.
  • Minimum of 2 to 3 years of responsible clerical experience involving substantial public contact or customer service in a functioning Municipal Building Department, or its equivalent.
  • Strong working knowledge of current computer programs, including, but not limited to: BS&A, Adobe Acrobat, Microsoft Word, Access, PowerPoint, and Excel.
  • Ability to exercise independent judgment when appropriate; work effectively with the public and staff at all levels; and communicate professionally and effectively both verbally and in writing.
