The Business Process Analyst/Documentation Specialist role is located at the Associated Packaging, Inc. headquarters in Gallatin, TN. This role will have a focus with the Operations team to analyze, understand, and create documentation for the operational business processes and workflows at API. This documentation will manifest into SOPs and training tools for the Operations team. Additionally, the role will help define the best structure for creating, saving, and the format for documentation to best achieve accessibility and training purposes. The successful candidate will have great attention to detail, excellent oral and written communication skills, and adept ability to analyze business processes. The ideal candidate will possess the ability to support Process Improvement initiatives after gaining a thorough understanding of the existing operational business processes.


Key Duties & Responsibilities:

  • Work with the Operations team at Corporate and at Regional Branch Operations locations to learn and understand the existing business processes and workflows, as well as the ERP applications and other software programs/tools used to facilitate the business processes.
  • Review of Program Documentation related to specific ERP applications to perform many operational business processes. Update, as appropriate to best reflect current functionality.
  • Interview/hold workshops/work with Subject Matter Experts to understand business processes and workflows and convert into formal procedural documents.
  • Organize and more formally title business processes such that it eases communication of what process is intended and a logical structure of documentation to match the logical hierarchy or flow of business processes.
  • Develop/use a standardized style and structure for creating user documentation, manuals, or other technical process documents. Same for process flow charts/mapping. Consider best formats for accessibility and training purposes, including cloud-based access and video.
  • Document business requirements through the process while noting current challenges, needs, or issues with existing programs or processes.
  • Identification, clarification, and in some cases development of business rules are important to capture as part of the documentation.
  • Identification of validation steps/logic in business processes/programs are important to capture as part of the documentation process.
  • Identification of variances in business processes and workflows among the various API branch operations. Facilitate correction or best practices with management.
  • Assess and document business processes from a Quality Assurance perspective that seeks to identify the steps or separate processes that result in the prevention of errors or negative outcomes. This will help ensure and achieve a Quality Management System within our processes that yields the most positive outcomes for all stakeholders, but especially customers and customer satisfaction.
  • Resulting documentation and training will facilitate an internal audit process to make sure branch operations are following established processes.
  • Maintaining/updating the documented processes (revision control) with key input from team using documentation for ongoing training purposes.
  • Identify opportunities for Process Improvement. Upon establishment of current state of business processes and workflows, the ability to facilitate Process Improvement efforts will be significant to the business with the knowledge gained.
  • Automation of workflows including participation and evaluation of potential software platforms with the IT Department will be part of the Process Improvement effort.
  • Direct working relationship with the IT team will facilitate understanding of tech stack and various platforms, framing up a solid basis for Process Improvement efforts.
  • Working with and supporting efforts of Continuous Improvement team will also enhance and support Process Improvement efforts.
  • Assessment of time required and roles who perform certain business processes, at a high level, becomes part of documentation, variance evaluation among branch operations, and Process Improvement initiatives. In addition, working with IT team to implement utilization tracking of programs and processes, including time spent, become significant tools in both Continuous and Process improvement initiatives.
  • Longer term, the continued development of program and business process documentation along with incorporating QA and QMS concepts yields preparation for ISO certification.

Education and/or Experience:

  • Bachelor’s degree in business-related field
  • Lean Six Sigma certification or equivalent preferred
  • Minimum of 3-5 years of experience in Sales Operations
  • Ability to maintain the upmost confidentiality and professionalism with excellent verbal, written communication, and interpersonal skills with a customer-service-driven focus

Competencies:

  • Must possess the ability to work independently and manage priorities under tight deadlines to ensure maximum productivity.
  • Adept at working on multiple concurrent tasks, with constant interruptions, and ability to work with no supervision while performing duties as well as being a team player and collaborative.
  • Experience using Microsoft Office 365 products (Outlook, Word, Excel, PowerPoint, Visio, etc.)
