Job Title: Customer Service/Sales Coordinator

Department: Sales

Reports To: Inside Sales Manager

OBJECTIVE: To continuously satisfy customers while maintaining profitability.

RELATIONSHIPS: Please see PH’s Organizational Chart included in your new hire paperwork for specific relationships.

AUTHORITY: This individual has authority over no other employee but may ask others within their department to help them with tasks. Please see PH’s Organizational chart for more detailed information.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Will include the following but is not limited to:

  • Answer all incoming calls.
  • Enter Orders and make any changes to orders, including requesting new part numbers.
  • Manage the product development form (yellow sheet) process through all departments when a new part number is requested.
  • Record and write up quotations as requested.
  • Expedite orders and advise customers of product availability.
  • Work with the shipping department to fulfill customer orders, and resolve problems that arise on orders and shipments.
  • Run unscheduled order meetings and send out minutes to operations and sales.
  • Contact customers to obtain new orders- as directed by the inside sales manager.
  • Provide Customers with open order reports as directed.
  • Assists management with other special projects as required and provides backup for other employees in the sales/marketing departments.
  • Coordinate monthly planning meetings to set revenue numbers and review backlog.
  • File sales orders according to ship date and past-due orders
  • Convert closed sales orders to electronic files.
  • Provide updates on past-due orders.

PREFERRED QUALIFICATION REQUIREMENTS:

  • Minimum associate degree or equivalent.
  • 3-5 years of customer service experience in the manufacturing industry.
  • Thorough competency in Microsoft Office including Excel, Word, and Outlook.
