Job DescriptionJob DescriptionPosition Overview:
We are seeking a highly organized and personable Receptionist to join our team. The ideal candidate will be the first point of contact for our company, offering administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

Key Responsibilities:
  • Greeting and Welcoming: Warmly greet visitors and clients upon arrival, ensuring they feel welcomed and directed to the appropriate person or department.
  • Phone Management: Answer, screen, and forward incoming phone calls while providing basic information when needed.
  • Visitor Management: Maintain security by following procedures, monitoring the visitor logbook, and issuing visitor badges.
  • Mail and Package Handling: Receive, sort, and distribute daily mail/deliveries. Arrange couriers as needed.
  • Administrative Support: Provide basic and accurate information in person and via phone/email. Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Scheduling and Appointments: Manage meeting room bookings and schedule appointments as requested.
  • Maintaining Office Supplies: Monitor and maintain office equipment and inventory of supplies. Reorder supplies when necessary.
  • Cleanliness and Organization: Keep the reception area tidy and presentable, with all necessary materials (e.g., pens, forms, and brochures).
Qualifications:
  • Education: High school diploma or equivalent. Additional certification in Office Management is a plus.
  • Experience: Proven work experience as a Receptionist, Front Office Representative, or similar role is preferred but not required.
  • Skills:
    • Proficient with Microsoft Office Suite
    • Professional attitude and appearance
    • Solid written and verbal communication skills
    • Ability to be resourceful and proactive when issues arise
    • Excellent organizational skills
    • Multitasking and time-management skills, with the ability to prioritize tasks

Working Conditions:
  • Work Environment: This job operates in a professional office environment.
  • Physical Demands: This is largely a sedentary role; however, some filing and light lifting are required.
  • Hours: Full-time position, Monday through Friday, 8:00 AM to 4:00 PM.
