Position Summary:
As our Afternoon Receptionist, you’ll greet clients and guests, handle phone calls, manage office tasks, and ensure a well-organized clinic environment. Your role is crucial in maintaining a positive experience for everyone who walks through our doors.ResponsibilitiesWhat You’ll Do:
- Client & Guest Relations: Greet current and prospective clients and guests warmly and professionally, responding to inquiries with promptness and urgency.
- Communication: Answer incoming calls, provide accurate information, take messages, and transfer calls as needed.
- Notifications: Notify relevant parties of client cancellations, late pickups, and other important updates.
- Office Operations: Handle a variety of administrative tasks including typing, photocopying, scanning, and filing to ensure smooth clinic operations.
- Mail & IT Devices: Sort and distribute mail, manage IT device shipping and receiving, and maintain float IT equipment.
- Check-Out Process: Oversee the check-out procedure and assist in requesting and collecting updated documentation from families and visitors.
- Cleanliness: Keep the waiting room, kitchen, and restroom clean and welcoming.
- Organize: Ensure that waiting room materials, client information bulletin boards, and supplies in office, restroom, and therapy rooms are up-to-date and well-organized.
- Support: Assist staff and management with various tasks, including maintaining therapy rooms and sanitizing items.
- Opening/Closing Duties: Perform tasks related to opening and closing the clinic, such as cleaning counters, running the dishwasher, managing appliances, and securing doors and cabinets.
- Confidentiality: Maintain confidentiality by adhering to HIPAA/HITECH laws and regulations.
- Additional Duties: Complete other job-related tasks as assigned.
- Customer Service Excellence: Strong skills in providing exceptional service.
- Effective Communication: Ability to interact clearly with staff and families.
- Dependability: Reliable, adaptable, and able to multitask.
- Organizational Skills: Efficient in managing various responsibilities.
- Required: At least 16 years old.
- Required: Proficient in computer software (Word, Excel, PowerPoint, etc.)
- Preferred: High school diploma or college degree; experience with medical reception or Autism is a plus.
- Preferred: Experience with medical reception or familiarity with children with special needs.
- Ability to lift up to 40 pounds occasionally and use proper body mechanics.
