We seek a highly skilled and motivated Sr. Specialist, Project Delivery to join our dynamic team. This role is the backbone of our project management efforts, ensuring we meet our clients’ expectations and deliver high-quality work. The Sr. Specialist will manage the implementation and day-to-day project management process for assigned marketing projects, particularly within our tech, manufacturing, non-profit, education, pharma, healthcare, and life science clients. This position demands the ability to produce and track successful personalized action plans for each client to achieve their goals.

The ideal candidate will have a strong project management background, at least five years of related experience, and a passion for digital and interactive marketing strategies. They will work with team members across our service lines, including Strategic, Creative, and Interactive, to lead projects that support our clients’ marketing efforts. The Sr. Specialist will also champion planning and allocating resources, preparing budgets, monitoring progress, and keeping stakeholders informed throughout the project lifecycle. Building and maintaining strong, trusted relationships with clients and internal team members are key responsibilities of this role.

The Sr. Specialist will play a pivotal role in ensuring the successful execution and delivery of projects within our organization. This includes overseeing the end-to-end project lifecycle, from initiation to closure, ensuring that projects are completed on time, within scope, and with the highest level of quality. Collaborating effectively with cross-functional teams is essential, as is the ability to stay up-to-date on industry trends, insights, and emerging technologies to share and implement those learnings for client and internal projects.

This role involves managing daily interactions with clients and acting as their advisor and strategic partner to ensure project delivery and client satisfaction. The Sr. Specialist will also contribute to strategy by providing insights from their knowledge of client work and business. They will coordinate with other service studios to ensure project goals are met, and the right resources and expertise are allocated. Using project management tools such as Asana and Parallax is preferred, as is the capacity to work effectively in a fast-paced and dynamic environment.


Responsibilities 

As a Project Delivery Sr. Specialist, you will:

Project Planning and Execution:

  • Develop comprehensive project plans outlining project scope, timelines, resources, and deliverables.
  • Execute project plans, monitoring progress and making adjustments as necessary to ensure successful delivery.
  • Lead milestones and tasks of all projects, including production resource allocations, capacity constraints, and efficiency improvements.

Stakeholder Communication:

  • Act as a central point of contact for project stakeholders, providing regular updates on project status, risks, and issues.
  • Facilitate effective communication between team members, management, and other stakeholders.

Risk Management:

  • Identify potential risks and issues impacting project delivery and develop mitigation strategies.
  • Proactively address and resolve challenges to ensure project success.

Quality Assurance:

  • Implement and maintain quality assurance processes to ensure the delivery of high-quality project outcomes.
  • Conduct regular reviews and assessments to identify areas for improvement.

Team Leadership:

  • Provide leadership and guidance to project teams, fostering a collaborative and positive working environment.
  • Mentor and coach team members to enhance their skills and capabilities.
  • Collaborate with leadership to provide ongoing analysis to ensure appropriate utilization of team members and discuss staffing and capacity needs.

Budget Management:

  • Work closely with the team to manage project budgets, ensuring financial goals are met.
  • Manage expectations, helping the team achieve client goals without sacrificing their well-being.

Collaboration:

  • Maintain daily communication with clients to manage project details, address concerns, and ensure satisfaction.
  • Deliver project updates to the internal team, share client insights and project knowledge, and suggest future opportunities.
  • Contribute to strategy and share insights from knowledge of client work and business with the internal team.
  • Coordinate with other service studios to ensure project goals are met, and the right resources and expertise are allocated.


What you’ll need

  • Preferred 5+ years of related experience in a project management or marketing role
  • Bachelor’s Degree in marketing, project management, communications or related field
  • Strong understanding of project management methodologies and tools. Experience using Asana is preferred.
  • Daily management of assigned projects, including meetings, presentations, project tracking, task assignment, and hours or billing reports
  • Excellent communication and interpersonal skills.
  • Ability to work effectively in a fast-paced and dynamic environment.
  • Demonstrated leadership and team management abilities.
