The Project Coordinator will assist the Facilities, Real Estate Development and the Construction Team. The role will help organize the Swig Development Team to track and communicate construction project and real estate updates, as well as assist with internal/external communication as needed. The Project Coordinator needs to be organized, efficient, good at multitasking, and driven to succeed. 

The Project Coordinator reports directly to the Directors of Real Estate and Construction and will work directly with the entire department under direction of the Chief Development Officer.  

HOW YOU'LL MAKE AN IMPACT: 

  • Budgets – Track to ensure the Construction Manager provides updates to stakeholders
  • Utility Coordination – Provide necessary documentation and applications for pre-con meetings with utility companies, design approvals, mobilization coordination, etc.
  • Plans, Permits & Fees - Manage and track deliveries of plans, fees, permits, etc. 
  • Project Tracking - Compliance with landlord and cities for the start of projects (document submittal tracking) and Possession date acknowledgement forms, calendar invites and contact management as well as utilize project management software as needed.
  • Prepare Announcements - LOI, Lease, Notice to Proceed, Ground break, project delays, store closings (maintenance), Project Turnover, Notice of Completion, and track project ID and Shop Codes (accounting) 
  • Project Close-Out - Copies of all: permits, As-Built drawings, sworn statement of completion, unconditional lien releases from GCs and their subs, list of any unpaid invoices, warranty book and maintenance manuals and Final Cost Breakdown, notices of completion and completed punchlist
  • Accounting – Coordinate billables through a process that utilizes Docusign and other tracking mechanisms to ensure timely payment to vendors, general contractors, etc.
  • Vendor & GC Support – Assist the Architect and the CM with the Invitation to Bid, vendor Request for Proposal (RFP), and help manage vendor relationships
  • Document Controls – Assist with filing documents, assigning Project IDs, etc. 
  • Facilities - Hand projects off to facilities maintenance for warranty work 
WHAT YOU'LL BRING TO THE ROLE: 
  • Bachelor’s Degree or equivalent experience 
  • 3+ years of experience in real estate development 
  • Experience with general ledger systems 
  • Advanced knowledge of Excel 
  • Proficient in Microsoft Suite  
  • Exceptional analytical and problem-solving skills 
  • Collaborative, growth mindset and partnership oriented 
  • Exceptional attention to detail 
  • Excellent verbal and written communication 
  • Strong organizational skills 
  • Ability to multitask and complete tasks in a timely, accurate manner
