The Harriman Office Manager is responsible for ensuring the smooth functioning of office operations, maintaining a pleasant work environment, and providing administrative support to the team. This includes the daily oversight of the Harriman office, including: accounts payable, accounts receivable, inventory receiving, invoicing, human resources documentation, and other duties necessary to ensure efficient operations and excellent customer service.

SITE LEADERSHIP:

  • Providing leadership, guidance and support to ensure effective performance and professional development.
  • Foster a positive and collaborative office environment, promoting teamwork and open communication among all employees.

OPERATIONAL EFFICIENCY:

  • Implement and streamline office procedures and policies to enhance productivity and efficiency.
  • Identify opportunities for process improvements and lead initiatives to optimize office operations.

COMPLIANCE AND SAFETY:

  • Ensure compliance with company policies, legal regulations, and industry standards.
  • Promote and maintain a safe and secure work environment by implementing and enforcing safety protocols.

ACCOUNTS PAYABLE:

  • Accurately process and enter all AP invoices with proper documentation, approvals, and GL coding within a timely manner
  • Practice effective account monitoring to ensure punctual vendor payments

ACCOUNTS RECEIVABLE:

  • Receive and apply payments to customer accounts
  • Balance cash drawers and prepare daily bank deposits
  • Maintain open lines of communication with customers in order to identify and resolve any credit or charge disputes
  • Establish new customer accounts and jobs following credit approval

INVENTORY RECEIVING AND INVOICING:

  • Receive inventory into system by reconciling purchase orders with packing lists and proactively notify buyers of any identified discrepancies
  • Review temporary vouchers to ensure accurate receiving and timely payment of invoices

HUMAN RESOURCES:

  • Coordinate with staffing agencies for associate placement and weekly time submissions
  • Assist with policy and procedure development and worker’s compensation claims

OTHER DUTIES:

  • Monitor office supply inventory and place orders when necessary
  • Follow company procedures for filing, scanning, and retaining paperwork
  • Additional administrative responsibilities as required

EDUCATIONAL / EXPERIENCE REQUIREMENTS:

  • Microsoft Office: 1 year (Preferred)
  • Administrative experience: 1 year (Preferred)
