The Publications Specialist works as part of the Publications team and oversees editorial style and content of technical and marketing documents and materials in a fast-paced work environment. Work will include proofreading and editing, formatting, and ensuring consistency of style throughout our documents. The Publications Specialist works closely with technical staff to schedule the production of documents to meet project schedules and coordinates the efficient production of documents. The Publications Specialist is integral to the ability of the firm to successfully complete and publish documents and reports. This position involves a variety of duties related to the production of technical documents and marketing materials.
This is a Non-exempt position.
Copy-editing and proofreading
- Proof and edit technical documents and proposals for grammar, style, and other errors such as typos, sentence fragments, or inconsistent formatting. Ensure all written content meets firm standards.
- Ensure consistency of text and grammar with in-house style guide.
- Create and manage document templates and lists of globally defined terms for documents.
- Edit and/or write project profiles and staff project experience for proposals.
- Responsible for quality assurance (QA) and quality control (QC) of publications work efforts and documents.
Publications
- Maintain and update the in-house Publications Style Guide and other client-specific style guides, as necessary.
- Electronic document filing and management.
- Organize and track publications requests; monitor tasks and provide real-time updates to staff as appropriate using Microsoft Planner.
- Prepare document templates for company-wide use.
- Assist in developing and hosting live training presentations for staff in editorial styles and writing practices, as well as other topics related to document production as necessary.
Production
- Document preparation including formatting and preparation of documents for printing.
- Document production and assembly, mailing and distribution.
- Track Publications costs and prepare publications invoices.
Skills:
- Proficient in:
- Managing documents and version control within a cloud-based environment.
- Collaborating effectively within a team setting.
- Utilizing workload planning tools such as Microsoft Planner to coordinate document production with the team.
- Managing multiple projects and/or tasks simultaneously.
- Prioritizing tasks and managing workload to meet defined schedules and budgets.
- Skilled in Microsoft Word and Excel, with a willingness to adapt to other office or web-based software platforms.
- Competent in uses of Adobe Acrobat, with additional proficiency in Adobe Illustrator being advantageous.
- Familiarity with the Chicago Manual of Style.
- Possess strong organizational skills and a keen attention to detail.

Other Requirements:
- Bachelors in English, Communications, Journalism, or related field.
- At least 2+ years of experience in the publishing or editorial process.
- Familiarity with A/E/C firms preferred.
- Experience with technical writing and editing.
Hours:
This is a full-time remote position with at least 25% time required in our Westlake Village office as necessary to accommodate production demands and/or attend company events. Working hours offer flexibility within the core operating hours of 7 AM – 6 PM.
