We are based in Rockville, MD and have an excellent team of 95 employees who are responsible for the design, installation, and inspection of fire alarms, sprinkler systems, kitchen fire suppression systems, fire extinguishers, and kitchen hood/duct systems. We have an extensive customer base with over 10,000 fire systems that we perform recurring inspection and repair services throughout the region. Our company is continually growing through its internal sales and marketing activities, strong reputation, and business acquisitions.

About The Position

Guardian is hiring a Contracts Specialist at our Rockville, MD location. The Contracts Specialist will play a vital role in the organization. They will manage and negotiate contracts with suppliers and clients. They also provide legal advice and guidance on contract terms and conditions.

We are searching for a Contracts Specialist who is knowledgeable and experienced to join our team. The ideal candidate will provide legal and contractual support for our company. They should be familiar with legal terminology, contractual agreements, and have a background in contract administration. The Contracts Specialist will work closely with legal, procurement, and project managers to ensure contracts comply with legal requirements and operational goals.

Responsibilities will include but are not limited to

  • Review contractual agreements, such as non-disclosure agreements, service agreements, purchase agreements, and licensing agreements.
  • Ensure contracts adhere to legal requirements, company policies, and industry best practices.
  • Assist in drafting contract language that clearly defines our obligations and protects our company's interests.
  • Improve processes and consolidate contractual data to improve transparency, planning, and monitoring.
  • Collaborate with cross-functional teams (e.g., sales, operations, IT, accounting) to ensure adherence to contractual obligations.
  • Proactively work with the sales team to review new business opportunities and contract proposals.
  • Assist sales team in the creation of amendments for special arrangements on existing agreements and new contract proposals.
  • Analyze and interpret complex contracts to fully understand our obligations and the customer's expectations.
  • Stay informed about industry best practices and regulatory changes that may impact contract compliance.
  • Prepare renewal contracts for customers as requested and incorporate price increases.
  • Assist with mass contract price increases across our customer base in Service Trade.
  • Track changes for contract terms negotiations and create a final executable version for signature.
  • Manage digital document software and contract templates.

Qualifications

  • Minimum of 3-5 years of experience in contract administration or a related field.
  • Proficient in Microsoft Office Suite and contract management software.
  • Familiarity with government contracting regulations is a plus.
  • Strong analytical and problem-solving skills.
  • Excellent communication and negotiation skills.
  • Ability to work collaboratively with cross-functional teams.
  • Attention to detail and accuracy in contract management.
  • Familiarity with procurement processes and project management methodologies.
