POSITION SUMMARY:

The Installation Administrator will provide administrative support to the installation department, assisting in coordinating and managing installation projects. This role requires strong organizational skills, attention to detail, and the ability to handle project documentation and scheduling. The Installation Administrator will play a crucial role in ensuring efficient installation operations and contributing to successful project completion.

ESSENTIAL JOB FUNCTIONS

  • Assist in coordinating installation projects, including scheduling appointments, dispatching installation teams, and managing project timelines.
  • Maintain accurate records of installation projects, including project status, customer information, and materials used.
  • Communicate with customers to provide project updates and address inquiries.
  • Prepare and distribute project documentation, including contracts, work orders, and installation instructions.
  • Collaborate with the installation team to ensure all required materials, equipment, and permits are prepared for each project.
  • Assist in tracking project expenses, labor hours, and material usage for cost analysis.
  • Maintain an organized filing system for project documents and records, ensuring easy retrieval and accessibility.
  • Assist in resolving installation-related issues, coordinating with team members and customers to find effective solutions.
  • Collaborate with suppliers and vendors to ensure timely delivery of materials and equipment for installation projects.
  • Support the Sales Program Manager in other administrative tasks and projects as needed.
  • Prepare and complete payroll and time documentation

NECESSARY KNOWLEDGE, SKILLS, ABILITIES, AND OTHER CHARACTERISTICS:

  • Bilingual (Spanish) strongly preferred
  • High school diploma or equivalent; additional vocational or administrative training is a plus.
  • Proven experience in administrative or project coordination roles is preferred.
  • Proficiency in using office software such as Microsoft Office (Word, Excel, Outlook) and project management tools.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent attention to detail and accuracy in handling project documentation.
  • Effective verbal and written communication skills for clear and professional correspondence.
  • Ability to work collaboratively with installation teams, customers, and other departments.
  • Problem-solving skills and the ability to manage unexpected changes or challenges in project schedules.
  • Positive attitude and customer-focused approach to ensure customer satisfaction.
  • Willingness to learn and adapt to new software or technologies as needed.
