The Service Writer serves as a key liaison between the maintenance team and our clients, coordinating and managing service activities for a diverse fleet of vehicles. This role requires a blend of technical knowledge, customer service skills, and administrative acumen to ensure that all vehicles are serviced timely and effectively.

 

Key Responsibilities:

  1. Client Communication: Act as the primary point of contact for clients, managing inquiries and updates regarding vehicle service status. Ensure clear and consistent communication throughout the service process.
  2. Service Scheduling: Coordinate and schedule maintenance and repair appointments, balancing client needs with workshop availability. Track and manage the service calendar to optimize workflow.
  3. Work Order Management: Generate, process, and track work orders. Ensure accurate documentation of service requests, completed work, and associated costs.
  4. Vehicle Assessment: Work closely with technicians to understand service requirements. Assist in initial vehicle assessment to accurately determine service needs.
  5. Parts Coordination: Coordinate with parts suppliers to obtain necessary components for vehicle servicing. Ensure timely delivery and accurate invoicing of parts.
  6. Quality Assurance: Oversee the quality of work performed, ensuring that services meet both client expectations and safety standards.
  7. Invoice Preparation and Processing: Prepare and process invoices, ensuring accuracy in billing for services and parts. Address any billing inquiries or discrepancies.
  8. Record Keeping: Maintain comprehensive records of all services performed, including details of repairs, maintenance activities, and costs.
  9. Feedback Management: Collect and address client feedback to continuously improve service quality and customer satisfaction.
  10. Compliance and Safety: Ensure compliance with industry standards and safety regulations in all service activities.

 

Qualifications:

  • Proven experience as a Service Writer or similar role in automotive or fleet maintenance.
  • Strong understanding of automotive mechanics and maintenance requirements for light to heavy-duty vehicles.
  • Excellent communication and interpersonal skills for effective client interaction.
  • Proficiency in service scheduling and work order management software.
  • Ability to work effectively in a fast-paced, dynamic environment.
  • High attention to detail and commitment to quality.
  • Basic financial acumen for invoicing and billing processes.

Education:

  • High school diploma or equivalent; post-secondary education in automotive service or a related field is a plus.

Certifications:

  • Relevant certifications in automotive service or fleet management are beneficial.
