Staff Accountant - Accounts Payable


Position Summary:


The Staff Accountant provides administrative financial services and ensures that complete and accurate payables and payment records are maintained. Responsible for one or more of the following activities: checks and verifies records, audits vendor invoices for compliance, enters vouchers, first line review of employee expense reports, files and balances accounts payable records. Uses office automated systems to input data, generate reports, conduct specialized research projects, and respond to inquiries. This position will reconcile vendor accounts and may be responsible for a complete and systematic set of transactions in the accounts payable cycle. The position performs all duties as assigned by the Accounting Manager.


Essential Duties and Responsibilities:

  • Sort and manage Accounts Payable email box and prioritizing and responding to inquiries.
  • Obtain invoice approvals via automated system to include routing to department managers
  • Audit vendor invoices to verify purchase order quantities, services rendered, descriptions and pricing matches receipts or evidence of services performed to the items billed
  • Vouch approved invoices into NetSuite ERP system for payment processing
  • Communicate discrepancies to business departments for review and resolution
  • Work with Accounting Manager to complete weekly payments run. Duties include adding new vendors to systems, uploading invoices to system, mapping invoices appropriately to accounting periods & NetSuite categories, and selecting payment timing.
  • Maintain vendor files by completing credit applications and receiving W-9 forms
  • Prepare month-end accrual journal entry for costs not reflected in AP aging report
  • Prepare reconciliation of general ledger to AP aging report monthly
  • Prepare year end 1099 reporting requirements
  • Experience with automated accounting systems a must
  • Discretion regarding confidential information


POSITION REQUIREMENTS

Education & Formal Training:

  • Bachelor in Business Administration required (prefer concentration in Accounting, Finance, or Computer Information Systems)

Experience/skills/abilities:

  • 3+ years of Accounts Payable experience required.
  • Knowledge of financial and accounting principles and practices
  • Experience with ERP system, (Net Suite experience a strong plus)
  • Experience with expense reporting a plus
  • Highest standards of accuracy and precision, highly organized.
  • Ability to think creatively, highly-driven and self-motivated.
