Job Description:
Administrative Assistant responsibilities include a variety of tasks to receive and dispatch customer information, provide excellent customer service, and assist customers with questions via phone and email. AR Specialist responsibilities include monitoring and managing accounts with outstanding payments. The majority of work is done on the computer, using a variety of programs including QuickBooks.
Job Duties:
Receptionist Specific
- Receive general phone calls and greet visitors in a friendly and professional manner
- Coordinate crew and job scheduling
- Prepare physical files. Filing could involve lifting and moving heavy boxes.
- Multitask between duties
- Receiving, entering, and dispatching lead calls and job referrals (FNOL)
- Other duties as assigned
- Support collection of funds through the life cycle of a job via effective communication between the customer, insurance carrier, mortgage holder, and the Servpro team members
- Serve as the first line of action on past due payments
- On invoices that reach a predetermined age, leverage formal collection processes in order to collect
- Maintain diligent communication
- Perform detailed and accurate data entry
- Other duties as assigned
- Rotating emergency on-call support will require accepting calls during off hours (starts after 90 days)
- Associates Degree required
- 2+ year(s) of administrative or office-related experience and business experience required
- 2+ year(s) AR experience desired
- Experience in the commercial cleaning and restoration or insurance/service industry desired
- Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times
- Ability to remain calm and professional during fast-paced, tense or stressful situations. It is important that you display a positive, helpful demeanor, and a commitment to providing the best in customer service.
- Excellent organizational skills and strong attention to detail
- Self-motivated and goal-oriented
- Current familiarity with technology and ability to easily learn new software and technology
- You must also work well as part of a team and be willing to work long hours when necessary
- Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary
- Must be able to pass pre-employment screens (background & drug test)
Pay Rate:
- $18.00 - $20.00 Hourly Rate based on experience
