Our ideal candidate will have:
  • An associates degree
  • The ability to manage more than 2 projects at one time and have an ambitious approach to balancing workload in a fast-paced environment
  • Problem-solving and decision-making abilities, with a proactive and results-oriented approach

Requirements
  • High school diploma or equivalent; Associate of Arts degree preferred.
  • Previous administrative experience in construction or related industry is desirable.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Strong organizational skills with attention to detail and ability to multitask in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to work independently as well as part of a team, demonstrating flexibility and adaptability.
  • Basic understanding of construction documents, terminology, and processes is a plus.

Responsibilities
  • Administrative Support:
  • Organize and maintain project documents, including drawings, specifications, and correspondence.
  • Assist in the preparation and distribution of bid packages and proposal documents.
  • Manage electronic and physical filing systems to ensure easy access to project information.
  • Coordinate meetings, conference calls, and appointments for the preconstruction team.
  • Prepare and distribute meeting agendas, minutes, and action items as needed.
  • Bid Coordination:
  • Assist in the coordination of bid invitations to trade partners and suppliers.
  • Maintain communication with trade partners regarding bid inquiries, clarifications, and submissions.
  • Track and log bid responses, ensuring all required information is received in a timely manner.
  • Communication and Collaboration:
  • Communicate effectively with team members to ensure alignment on project goals, timelines, and deliverables.
  • Respond to inquiries from stakeholders, trade partners, and clients in a professional and timely manner.
  • Collaborate with other departments, such as project management and finance, to ensure seamless project transitions

Physical Demands:
  • Dexterity of hands and fingers to operate a company laptop, iPad, phone, and other business machines
  • While performing the duties of this job, the employee is regularly required to stand and walk. Generally, the job requires 90% sitting, 5% walking, and 5% standing.
  • Ability to communicate orally with management and other co-workers is important. Talking, hearing and vision within normal ranges is important for conversations, to receive ordinary information and to prepare or inspect building plans and specifications.
  • Please note that climbing stairs is a physical requirement. Some offices contain an elevator but one must be able to use stairs for fire drills and emergencies

Work Environment
The noise level in the work environment is typical of that of an office. Individuals may encounter frequent interruptions throughout the workday. This job is performed in a generally clean and healthy environment.
