Summary

Review Eligibility and Process Child Care Assistance Applications in accordance with NJ DFD regulations and assure that all child care assistance agreements are for eligible providers and periods.

Duties

·Create records and files proving eligibility for subsidy payment for each applicant
oReview Applications and other documents submitted by applicants and verify the information for compliance with NJ DFD Instructions as outlined in the policy for all childcare assistance programs.
oVerify eligibility utilizing Cares, Worklife and the Child Support System
oEnter and access data in CARES, Worklife, EPPIC, NJCCIS and Child Support
oEnter all approved cases in Cares
oCreate agreements for eligible providers for eligible periods within DFD timelines
oEnsure that agreements of child care assistance applicants are not built past the eligible licensing of providers and that providers are not over-enrolled by utilizing Work Life, NJCCIS and EPPIC
oMonitor cases for changes and terminations
oProcess requests for Change in Providers
oReview pay stubs, income taxes, and other financial documents
oEducate parents of other childcare options (RFCC, child care centers, etc.)
oIssue 10-day Notice of Terminations in accordance with NJ DFD Instructions
oReturn all phone calls and email correspondence within 24 hours

·Assist other team members in a cooperative manner in performing job duties and covering for absences
·Maintain a tracking using Sharepoint via Microsoft 365 of applicants who have applied, are denied, pending or are determined eligible
·Enter and Track all Mail received via mail, e-mail or download using Sharepoint and the Worklife system
·Enter action logs in provider and client records for EVERY contact utilizing Worklife
·Must have overall knowledge of all agency services and be able to offer assistance
·Answer all client questions in-person, by phone, by e-mail or Zoom
·Use EPPIC to answer parent and provider questions and requests for replacement or alternate E- Child Care cardholders.
oIssue E- Child Care Attendance Logs and Discrepancy Forms as deemed necessary
·Notify DCF Institutional Abuse Unit whenever there is reasonable cause to believe that a child has been subjected to abuse and/or neglect following the CCCC complaint policy
·Other tasks as assigned
