Job Summary/Responsibilities
Supporting the Practice to ensure its smooth and successful running.
Be involved in the management and development of Practice staff.
To be responsible to produce performance and quality standards within the Practice, delivered through customer service skills, attention to detail and common sense.
To be responsible for the maintenance of the practice’s clinical and administrative computer systems to ensure delivery of high standards of data quality. Reporting all issues to the company IT team.
Assist in the recruitment of all office staff, organize, and arrange interviews, be involved in the interviewing of potential employee candidates.
Assist in Marketing items as needed.
Managerial
Annual performance appraisals for employees. Additional performance appraisals/improvement plans for employees as needed throughout the year.
Look after the welfare of all admin and clinical staff.
Look after the welfare of the Orthodontists.
Meet monthly as on office team, assist in the direction of the meeting.
Meet monthly with team leads, assist in the direction of the meeting.
Maintain payroll time sheets, edit errors, approve/deny paid time off through office timecard system. Verify and approve timecards before each pay period.
Be the first line of contact for the patients with complaints and take the appropriate action as set out in the office policies.
Monitor the day-to-day cash and other monetary items held with in the office. Insure they are properly stored to avoid theft.
Oversee office calendars with the support of the doctors. Review calendars at team meetings.
Contact for the office cleaners to ensure a high standard of cleaning for the office.
Submits for sponsorships to SDB
Requests and maintain petit cash
Submits invoices to SDB
Runs and sends reports to SDB as required
Manage the ordering of office supplies and ensure appropriate stock
Arrange for contactors to carry out any urgent repairs needed to office and clinic equipment.
Ensure the office is ready for patients each day. Ensure office is closed properly each day.
Oversee office keys and office access.
Working Relationships:
To work as a flexible member of the team to ensure the smooth running of the practice, providing support to other team members when necessary.
Brainstorm ideas to keep a high level of employee morale.
Ensure team members work well together and intervene when issues arise as needed.
Requirements:Personal/Professional Development
Initiates annual individual performance reviews, including taking responsibility for increasing your own personal and professional development.
Additional training may need be undertaken outside of normal practice hours, and off site as needed.
Quality
The Practice Manager will strive to maintain quality within the Practice, and will:
Alert other team members to issues of quality and risk.
Assess own performance and take accountability for own actions, either directly or under supervision.
Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance
Work effectively with individuals in other offices to meet patients’ needs.
Effectively manage own time, workload, resources, and company financials.
Communication
Communicate effectively with other team members using verbal, email, Microsoft teams, and Group me.
Communicate effectively with patients and doctors.
Confidentiality
As the Practice Manager, you will have access to private information of staff, doctors and patients. It is expected that you respect their privacy and act appropriately. All such information from any source is to be regarded as strictly confidential.
General Terms and Conditions
All employees are employed on an initial 90-day assessment period.
This Job Description may be reviewed in the light of office needs and developments. Any changes will be fully discussed. The Assistant Practice Manager may be required to carry out additional duties not listed above.
