Inventory Supervisor

Summary: Your duties will include, but may not be limited to: keeping accurate medical records, clerical work, client education, promotion of hospital products and services, and support of the hospital administrators and other team members. This requires a deep knowledge of Art City Vets procedures; policies and services; client and patient treatment protocols; data transcribing; word processing; and the standard procedures, records, and terminology used in the veterinary hospital.

Type: Full-time. A variety of shifts including nights and weekends and holidays may be required.

(Sundays are a requirement)

Responsibilities:

General responsibilities of the Inventory Supervisor include, but are not limited to the following:


- Maintaining and supporting a positive client experience.

- Follow established hospital policies and procedures when interacting with clients.

-Help maintain a clean workspace by helping with the taking out of trash, vacuum/sweep, and sanitizing surfaces.

- Update patient and client records as necessary.

- Answer business and personal calls in a friendly and professional manner.

-Regularly check and respond to your @artcityvets.com email.

The role of Inventory Supervisor focuses on providing support and oversight to the Inventory team. These responsibilities are subject to change dependent upon the needs of the hospital and upper management team (Hospital Directors). These responsibilities include, but are not limited to the following activities:

Provides support and oversight to the Inventory team. This includes but may not be limited to the following:


  • Ensure employees are staying on task and completing Credit Card Purchase, Office Supply Inventory, and Invoice Tracking spreadsheets on a daily basis.


  • Monitor to ensure all inventory is being entered into practice management software and any shortages are reported.


  • Facilitate regular meetings to develop new ordering, receiving, and tracking methods for the department.


  • Unpacking packages: Organizing all items and placing them in the correct places. For new items, create a pace and label accordingly


  • Scheduling slack messages for packages that are anticipated to arrive that require refrigeration.


  • Communication about products out of stock or a hold. Check with management about ability to source from a nearby or sister hospital. Sending out staff emails about unavailable products as needed.


  • Checking expirations of products stored in backstock and on the floor.


  • Be the point of contact for hospital product vendors and services.


  • Physically count full inventory to audit on a monthly basis (First Sunday of each month).


  • Physically count inventory on the floor to audit on a weekly basis to see what is needed, expired, etc. (Every Sunday)


  • Checking Slack and being aware of inventory on the floor at both urgent care and wellness. Moving product between locations as necessary.


  • Maybe changing inventory hours so he is here after we close to do a live audit at least every other day? Something along those lines.


  • Send management a daily report to include any items on backorder, inventory needed, inventory ordered, total daily spending, report/changes on service companies like Cintas, etc.


  • Update inventory spreadsheet daily.


  • Monitor accounts for unnecessary spending and inform the directors of any purchases which were not approved.

Educational Requirements: One year experience in an inventory or similar position. Veterinary specific experience is preferred.

Physical Requirements: This job can be physically active and sometimes requires frequent bending and standing for long periods of time. It requires occasional lifting and restraining of animals. Must be able to lift up to 50lbs regularly.
