Position Summary:

The Quality Assurance (QA) Specialist focuses on the oversight of the DULCE program’s quality assurance including contractual and regulatory requirements and contributes to our organization's success by managing a diverse range of tasks in support of service delivery, with a strong emphasis on continuous quality improvement. The ideal candidate will possess exceptional attention to detail, strong problem-solving skills, an eagerness to take on new challenges and the ability to adapt quickly and adjust priorities in response to changing circumstances. This position is supervised by the DULCE Program Manager with a dotted line task supervision from the Associate Director.

Regular full-time non-exempt position, with a 37.5 hour per week schedule. Hourly rate: $23.59 (approximately $46,000 annually).

The Champions for Children's DULCE program will work in collaboration with Tampa Family Health Center primary pediatric providers to support maternal child health, parenting skills, parent-infant relationships.

Duties/Responsibilities:

Grant/Contract Compliance:

  • Track, monitor, & summarize compliance to program requirements and goals.
  • Review contracts and grant agreements and contracts to understand requirements and restrictions.
  • Prepare reports for funders detailing programmatic activities, progress towards outcomes, financial expenditures, ensuring accuracy, compliance with reporting requirements, and completion within designated timeframes.
  • Partner with project partners to facilitate shared data collection as needed.
  • Collaborate with the finance team to ensure accurate recording and reporting of grant-related financial transactions.
  • Conduct ongoing record-keeping and client file management reviews for quality assurance & model fidelity.
  • Generate reports from our data management system to monitor staff progress toward essential requirements, quality standards and funding requirements.
  • Periodically review all program procedures for continuous quality improvement update and develop as needed to include service delivery, documentation, assessments, professional development, etc.
  • Responsible for evaluating and communicating programmatic results to assist in improvement efforts and drive effective decision-making in relation to data, outcomes, and retention of participants using the Plan Do Study Act (PDSA) model as appropriate.
  • Design and update training materials regarding any compliance concerns or for continuous quality improvement.

Continuous Quality Improvement:

  • Assist in the development, implementation, and monitoring of quality assurance processes.
  • Assist with creating and maintaining systems for collecting, aggregating, and reporting of data.
  • Assist with the preparation and collection of documentation for national accreditation.
  • Provide general technical support to staff for technology issues related to the agency’s SharePoint Intranet, Microsoft 365 applications and client database, working to resolve them in a timely manner.
  • Provide direct support to the Associate Director, such as special projects, data collection and reporting.
  • Work with staff to ensure data integrity and accuracy.
  • Attend staff meetings, on-going in-service training and supervision as required.
  • Supports the agency's performance and quality improvement processes.
  • Participate in appropriate agency project and community planning teams.
  • Performs other related duties as assigned.

Requirements, Qualifications and Skills:

  • Minimum of an associate degree or post-secondary certification in finance, data management, nonprofit management, or related field.
  • 2 - 5 years of work experience in a professional office setting; finance and/or administrative experience preferred
  • Proficiency in Microsoft Excel, Word, Outlook and internet research
  • Excellent analytical and problem-solving skills.
  • Exceptional attention to detail, accuracy, and adherence to deadlines.
  • Ability to adapt quickly and adjust priorities in response to changing circumstances.
  • Eagerness to learn new skills and take on new challenges.
  • Excellent organizational and time management abilities.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.
  • Familiarity with nonprofit organizations and government grants.
  • Familiarity with MS 365 apps (SharePoint, Power BI, Power Automate, Power Apps), preferred.
  • Experience with Blackbaud Financial Edge accounting system or other financial software, preferred.
  • Experience with client databases. Preferred.
  • Experience in a nonprofit setting, preferred.
  • Ability to walk, stand, climb stairs, kneel, bend, reach, and manipulate objects; move materials up to 10 pounds on a regular basis; infrequently require moving materials weighing up to 20 pounds.
  • Must be sensitive to the cultural and socioeconomic characteristics of the population that Champions for Children serves.
  • Must have a reliable car, active auto insurance, and valid Florida driver’s license with good driving record.
  • Must be able to successfully complete a Florida Level 2 criminal background check, motor vehicle records check and drug screening.
