Fleet and Facilities Specialist

Job Summary

The Fleet and Facilities Specialist is responsible for the effective management of the organization's vehicle fleet, including Class B and Class A vehicles, and the management of properties that are both leased and owned. This role also includes the oversight of inventories of all large assets, ensuring their optimal use and maintenance. The Fleet and Facilities Specialist will ensure compliance with safety regulations, manage vendor relationships, and optimize the use of resources to support the organization's mission.


Key Responsibilities:

  1. Fleet Management:

   - Oversee the operation and maintenance of the organization's fleet, including Class B and Class A vehicles.

   - Develop and implement fleet management policies and procedures.

   - Schedule and manage regular maintenance, inspections, and repairs to ensure vehicle safety and reliability.

   - Track and analyze fleet performance metrics, such as fuel consumption, maintenance costs, and utilization rates.

   - Coordinate vehicle acquisitions, disposals, and replacements in alignment with budgetary guidelines.

   - Ensure compliance with local, state, and federal regulations related to vehicle operations.


  1. Facilities Management:

   - Manage all aspects of properties owned/leased by the organization, including maintenance, repairs, and improvements.

   - Negotiate lease agreements and manage relationships with landlords and property owners.

   - Develop and implement facilities management policies and procedures.

   - Conduct regular property inspections to ensure compliance with safety and regulatory standards.

   - Coordinate with external vendors and service providers for facility-related services.

   - Manage space planning and ensure efficient use of property resources.


  1. Asset Maintenance:

   - Maintain an accurate inventory of all large assets, including vehicles and property-related equipment.

   - Develop and implement an asset maintenance system to track and manage the lifecycle of large assets.

   - Coordinate the procurement, allocation, and disposal of assets in alignment with organizational needs.

   - Ensure proper documentation and record-keeping for all assets.

   - Monitor and control expenses to ensure alignment with budgetary guidelines.

   - Identify cost-saving opportunities and implement measures to reduce operational costs.


  1. Compliance and Safety:

   - Ensure compliance with safety and regulatory standards for fleet and facilities.

   - Develop and implement safety programs and training related to fleet and facilities management.

   - Respond to and resolve safety issues and incidents in a timely manner.


  1. Vendor and Stakeholder Management:

   - Manage relationships with vendors, service providers, and stakeholders.

   - Negotiate contracts and agreements to ensure favorable terms and conditions.

   - Monitor vendor performance and address any issues or concerns.


  1. Reporting and Documentation:

   - Prepare and present regular reports on fleet, facilities, and asset management activities and performance.

   - Maintain detailed records and documentation for fleet operations, property management, and asset inventories.


Qualifications:

- Experience in fleet management, facilities management, or a related role.

- Strong knowledge of vehicle operations and maintenance.

- Experience with property management, including lease negotiations and landlord relations.

- Strong analytical and problem-solving abilities.

- Effective communication and interpersonal skills.

- Proficiency in using fleet management software and asset management systems.

- Valid driver’s license and clean driving record (Class A or B license preferred)


Working Conditions:

- Primarily office-based with regular visits to fleet and property locations.

- May require occasional evening or weekend work to address emergencies or urgent issues.

- Some travel may be required to manage fleet and property operations at different locations.


Physical Requirements:

- Ability to lift and carry items up to 50 pounds.

- Ability to stand, walk, and navigate various property and vehicle locations.
