Administrative Secretary (Facilities Management)


Location: Amsterdam, NY

FLSA: Non-Exempt

Reports To: Asst. Director of Facilities Management

Physical Requirements: Sitting, standing, bending, stooping

Hours of Work: Monday thru Friday, 40 hours per week, 7:30 am - 4 pm. Overtime as required

Pay Range: The pay range is $16.00 to $22.92

Job Summary:

The Administrative Secretary will assist multiple managers with clerical requirements. Must be comfortable with general office operations, including electronic correspondence, filing, preparing and distribution of project documentation. Have good people and communication skills and able to direct emergency calls to the proper staff.


Job Qualifications:

  1. High school diploma/GED plus two years' experience in an office environment required.
  2. Associates degree preferred with focus on office technology.
  3. Must possess excellent word processing, typing, and general office skills.
  4. Must be proficient in Microsoft Office (Word, Excel, Outlook, and Power Point).
  5. Must be able to relate well to the general public and the individuals we support.
  6. Must be able to read, write and speak the English language
  7. Valid NYS Driver's license is required.

Major Responsibilities:

  1. Process work orders as required.
  2. Input data in department specific programs and prepare reports as required.
  3. Prepare/distribute correspondence and reports, copying, filing, maintain inventory of department supplies, and process purchase requisitions as required.
  4. Provide clerical support for Assistant Director, Maintenance Manager, Safety Manager, Facility Support Lead Supervisor, and Project Management staff as required.
  5. Receive telephone emergency/priority requests and direct to appropriate staff as necessary.
  6. Provide back up for Liberty Message Center.
  7. Perform back up duties for Facility Assistant.
  8. Follow all department/agency policies and procedures.
  9. Provide person center individual attention to all consumers.
  10. Follow safe operating procedures with regard to use of tools of the trade. This includes the use of knives and cutting devices in the course of work. This position is exempt from the knives restriction as outlined in the Workplace Violence Prevention Policy as knives are considered tools of the trade.
