The Costume Coordinator reports to the Designer and is responsible for working with the accounting team to track the Design budget. They manage both daily fitting schedules and the returns calendar. They ensure team members are paid correctly and on time and holistically support overall team needs.  

Compensation:

$22 - $40 hourly

Responsibilities:

Organization & Scheduling

  • Set up a shared drive for the department to enable information sharing.
  • Create a department Google Calendar to support scheduling for preparation, shooting, and wrapping.
  • Establish accounts with rental houses and wardrobe supply houses to support the Designer, ACD, and Supervisor.
  • Record all scheduled fittings on our shared calendar and communicate them to all relevant parties (Designer, ACD, Supervisor, etc.).
  • Manage and implement craft services for the office to ensure snacks and drinks are available as needed.
  • Track shopping receipts and maintain a digital spreadsheet of all purchases and returns to monitor spending against the budget.
  • Schedule and manage returns to ensure we meet due dates.


Budget & Returns Management

  • Check-in and document all incoming purchases, including store location, cost, purchase date, and credit card used (or assign a PA to do so), to track purchases, return dates, and bookkeeping.
  • Organize pickups from shoppers.
  • Collect and submit all receipts from individuals with PCards or cash cards.
  • Check-in all rentals, track them, and handle returns.
  • Process and submit all P.O.s and cash envelopes.
  • Organize and communicate PA daily duties as directed by the Designer and ACD.


Crew Time Management

  • Track time spent by the team to ensure accurate and timely payment.
  • Manage entries to daily time sheets (DTS) for office staff (PAs, tailors, shoppers, Designers, ACD).
  • Enter weekly time cards for all office staff, including PAs, tailors, shoppers, Designers, and ACD.


Clearance

  • Collaborate with the ACD to submit, manage, and track clearance requests to the studio for items purchased or requested by the Designer and ACD.
Qualifications:

Experience Required:

  • Union Coordinator role in Costumes and/or another department (e.g. accounting, art department).
  • Google Drive, sheets, etc. 
  • Excel, Word.
  • Budget management for at least 1 full season or 1 full feature film.
