Billing Specialist

Fusion Transport is a rapidly growing warehouse provider and logistics management company. We have an immediate need for a competent Billing Specialist to join our team. As a Billing Specialist you will have a key role in our accounting department and have responsibility for a variety of financial and non-financial tasks.

The main objective of the Billing Specialist will be to help guarantee the company accurately bills and receives payments on time from our ever-growing list of customers. You will be responsible for processing incoming payments along with the issuing of necessary paperwork.

Duties and responsibilities

• Billing Management: Generate invoices accurately and efficiently based on warehouse activities, including shipments, receiving, and inventory movements.
• Data Entry: Enter billing information into the company's database or billing system with precision and timeliness.
• Documentation: Maintain organized records of billing transactions, including invoices, receipts, and other relevant documents.
• Verification: Verify the accuracy of billing data and resolve any discrepancies or issues that may arise.
• Communication: Collaborate closely with warehouse staff, supervisors, and accounting departments to ensure smooth billing processes and address any billing-related inquiries.
• Customer Service: Provide excellent customer service by promptly responding to billing inquiries and addressing customer concerns related to billing matters. Assist warehouse staff with minor payroll or HR related issues.
• Reporting: Prepare regular reports on billing activities, trends, and performance metrics for management review.
• Compliance: Ensure compliance with company policies, procedures, and regulatory requirements related to billing and invoicing.
• Continuous Improvement: Identify opportunities for process improvements in billing procedures and contribute to the implementation of best practices.

Billing Specialist requirements and qualifications

• Educational Background: High school diploma or equivalent required. Associate's or bachelor's degree in accounting, finance, or related field preferred.
• Experience: Prior work in warehouse or logistics industry is required. 3-5 years in billings is preferred.
• Technical Skills: Proficiency in Microsoft Office Suite, particularly Excel, and experience with billing software or ERP systems (specifically Synapse).
• Attention to Detail: Strong attention to detail and accuracy in data entry and billing processes.
• Organizational Skills: Excellent organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
• Communication: Clear and effective communication skills, both verbal and written, with the ability to collaborate across teams and departments.
• Problem-Solving: Proactive problem-solving skills with the ability to identify issues, analyze root causes, and implement effective solutions.
