Department: Training Operations/National Coalition Institute

Reports to: Operations Manager

Employment Status: Full-time, exempt

Location: 500 Montgomery Street, Suite 400, Alexandria, VA 22314


Position Summary

The Training Operations Associate provides support to the Training Operations team within the National Coalition Institute in both the Youth and Adult training areas. This position will assist in coordinating training programs and logistics, serve as point of contact for CADCA consultants, as well as help manage the day-to-day administrative and logistical processes of the department and its events. Must have a high level of attention to detail and be able to prioritize/complete tasks in a timely manner with minimal supervision.


Specific Duties

  • Assist with training logistics onsite and/or virtually to ensure successful execution of events
  • Manage travel details for training consultants and staff for all NCA sites and CTS training events, to include lodging, credit card authorization forms and receipts, per diems, etc.
  • Assist with drafting and sending contracts
  • Collaborate with finance department to review and submit trainer invoices, as well as monthly expense reports
  • Support ordering, printing, and shipping of training supplies, as needed
  • Work with Evaluation & Research team to create course surveys for events in order to gather data
  • Create certificates of participating for training attendees
  • Organize training reports post-events, including tracking number of attendees in all trainings monthly and throughout the year
  • Regularly update databases/LMS with all CTS training event details
  • Support both Adult and Youth Leadership Initiatives including annual conferences, Mid-Year and Forum
  • Maintain DEA Operation Engage Project data and compile monthly reports for submission to HQ
  • Main point of contact for Institute & Training Operations team with all related information for team support
  • Electronically organize, file, and maintain copies of contracts and relevant training materials
  • Coordinate and schedule team meetings, appointments, and other events; utilize Doodle polls to establish availability
  • Interact with other departmental staff, outside consultants and clients on a regular basis
  • Take meeting minutes in monthly/quarterly Zoom conferences, as needed; distribute completed minutes for staff and outside partners, if necessary
  • Maintain Departmental OOO Calendar
  • Provide support with other operations and administrative processes, as requested


Required Skills

  • Experience with online meeting software (Zoom, MS Teams, WebEx, etc.)
  • Proficiency in computer application skills (Microsoft Office, Project Management systems, etc.)
  • Excellent customer service/interpersonal skills
  • High level of attention to detail
  • Ability to communicate effectively, both orally and in writing
  • Superior organization and time management skills
  • Ability to manage multiple tasks and prioritize, while working independently and as part of a team to ensure the optimal function of the department
  • Database management and records management skills
  • Ability to perform in a fast-paced dynamic work environment with minimal supervision


Training and Credentials

  • Bachelor's degree required
