POSITION PURPOSE:

Under the general supervision of the Clinic Manager, the Medical Assistant Lead will perform certain administrative duties. Clinical duties may include taking and recording vital signs, administering medications, and direct care duties as needed and in accordance with established policies and procedures. Administrative duties may include, orientating new medical assistants, answering/addressing all clinic questions or concerns, and implementing the training program for the medical assistants. The MA Lead is a position that requires a National Certification through one of the following certifying agencies; American Allied Health Association, National Center for Competency, or the National Health Career Association.  This position must also have proven Scribe training.

 

ESSENTIAL MEDICAL ASSISTANT FUNCTIONS:

  • CLINICAL
  • Room patients which includes obtaining vital signs, verifying medications (medication reconciliation), medical history, and obtaining other pertinent information.
  • Assist physicians and nurses as needed.
  • Perform EKG’s.
  • Perform peak flows/spirometry.
  • Administer O2 as directed by provider.
  • Administer respiratory treatments as directed by provider.
  • Perform in-office labs and UDS.
  • Perform prescription refills.
  • Enter orders for medication and labs as directed by provider.
  • Scrub charts/huddle with provider and team daily.
  • Perform normal lab call backs.
  • Blood draws, if competency has been signed off.
  • Injections and immunization administration.
  • Assist with procedures.
  • Non-complicated wound care.
  • Suture/staple removal AFTER seen by provider.
  • Stock and clean rooms.
  • Packing instruments for the Autoclave.
  • Schedule patients for follow-up per provider.
  • Train other staff within MA scope of practice.
  • Assist team with desktop items.
  • Answer telephone calls.
  • Maintain all logs and required checks (i.e. refrigerator temperatures).
  • Additional duties as needed.

 

  • NON-CLINICAL:
  • Expected to be prepared to begin each shift at the scheduled time, meet attendance standards and work the hours necessary to perform the essential functions of the job.

ESSENTIAL SCRIBE FUNCTIONS:


  • Any individual that desires to serve as a scribe must review the policy and procedures on the use of scribes and sign a policy agreement.
  • The scribes note must accurately reflect the service provided on the specific date of service.
  • Documentation must be done in the electronic medical record (EMR) and consist of, but not be limited to: medical history, review of systems, medications, allergies, physical examination, consultations with other clinicians, interval progress notes, procedure notes, special forms, discussions with patients and families and the assessment and plan.
  • The scribe must document at the bottom of the HPI his/her full name and scribe title.
  • Continuously check on the availability of information relevant to the care of the patient and notify the clinician.
  • Scrub the providers’ schedule the day prior to the visit. This would include the status of labs, consults, procedures and re-evaluations of each patient.
  • Participate in morning team huddles.
  • Responsible for reviewing each patient’s medical chart to assure it is complete and accurate. Checks for attestations and clinician’s signature. Ensures that any missing sections are brought to the attention of the clinician.
  • Reviews chart for missing recommended preventative or screening related services. Communicates gaps to clinician.
  • Scribes are required to document in compliance with all federal, state, and local laws, as well as with internal policy. Failure to comply with this policy may result in corrective and/or disciplinary action.

 

ESSENTIAL ADMINISTRATIVE FUNCTIONS:

  • Assist in the orientation of MA’s.
  • Provide assistance to staff that may need additional training.
  • Work closely with other departments (call center, reception, medical records, outreach, etc.) to improve patient care.
  • Responsible for tracking preventative and follow-up testing including lab, x-ray, pap smears, etc.
  • Quality Metrics.
  • Ensure medical equipment is in good working order.
  • Ensure that patient exam rooms are stocked properly and assist with supply ordering.
  • Ensure supplies and medications are up to date and not expired.
  • Assist department with maintaining compliance with all regulatory agencies, including CLIA, OSHA, etc.
  • Ensure compliance with policies and procedures.
  • Collaborate with immediate supervisor and clinic providers to establish, define, and refine department goals and objectives consistent with Aviva Health’s Mission, and demonstrate satisfactory progress toward these goals and objectives.
  • Assist with supervisors in the development of MA training program and orientation checklist.
  • Collaborate with supervisors, providers and Chief Medical Officer and adjust MA curriculum and training, as needed.
  • Assist providers, MAs, scribes, and nurses with navigation of the EMR.
  • Work as a liaison between the medical assistants and providers to improve training
  • Address any clinic questions/concerns and direct staff to Supervisors to address non-clinical questions/concerns.


QUALIFICATIONS:

  • Minimum six (6) months of experience as a Certified Medical Assistant or work experience with Aviva Health as an MA with signed off competencies.
  • Completion of Scribe training in a clinical or hospital setting.
  • Current BLS certification (maintain current certification is required for continue employment with Aviva Health).
  • Knowledge of basic medical terminology.
  • Employed as a Medical Assistant with Aviva Health for 1 year.
  • Must not have had a corrective action within the past six (6) months.
  • Previous leadership experience preferred but not required.
  • Incumbents are required to have demonstrated basic knowledge and abilities in the following areas:
    • Proven leadership experience, excellent customer service skills, and teambuilding and collaboration skills.
    • Ability to work independently, detail oriented, organized, work effectively under pressure, and meet deadlines.
    • Excellent computer and organizational skills.
    • Demonstrated knowledge of office procedures, patient flow, triage, and scheduling.
    • Ability to communicate effectively with others using the spoken word and writing clearly and concisely. Ability to follow verbal and written directions.
    • Ability to accept responsibility and account for his/her actions and deliver upon expectations.
