The Associate position reports to the General Manager and is responsible for assisting in the overall day-to-day administrative duties and reception of the property management office with a high emphasis on customer service and hospitality.

Focus Areas of Responsibility

  • Provide good customer service to tenants and vendors as needed to achieve property management goals.
  • Answer incoming phone calls and greet guests in a professional manner.
  • Provide administrative support to management team members.
  • Communicate with security, janitorial, parking, landscaping, and engineering staff.
  • Assist in creating tenant billback invoices for tenant quarterly grease trap cleanings and record monthly utility invoice batches.
  • Help with planning, scheduling, and coordinating tenant events.
  • Order office and kitchen supplies.
  • Process incoming and outgoing mail via U.S. mail, overnight carriers, and messenger services.
  • Provide mailboxes/keys and access cards to new office tenants; prepare and distribute tenant manuals and welcome letters.
  • Prepare and send memos regarding maintenance projects, marketing events and other important details via email for tenants.
  • Update property tracking programs as needed.
  • Order and deliver tenant anniversary and highest sales gifts.
  • All other duties as assigned by the General Manager.
Requirements:
  • Client service-oriented attitude.
  • Excellent verbal and written communication skills
  • Strong organizational and prioritization skills.
  • Strong initiative and work-ethic.
  • Prior experience in a hospitality or customer service setting.
  • Experience with MS Office Word, Excel, Outlook; Yardi and Adobe Acrobat preferred.
