POSITION SUMMARY

The Receptionist answers all incoming phone calls and greets internal/external customers, including patients and families.


PRIMARY DUTIES AND RESPONSIBILITIES include some or all of the following depending on assigned department.

  • Ensures that a welcoming environment is maintained for patients, families, visitors and employees.
  • Answers all incoming phone lines, routes calls, takes messages, pages staff and answers general questions while maintaining compliance with HI{{A and 42 CFR.
  • Greets and directs internal/external customers, including patients and families to desired locations as appropriate.
  • Ensures guest name badges are issued and confidentiality statements are signed.
  • Sorts and routes incoming business mail.
  • Operates the postage mail meter for outgoing mail.
  • Records and routes all incoming deliveries to appropriate person(s) and/or departments.
  • Distributes incoming patient mail to appropriate program staff.
  • Interacts with patients in a supportive and appropriate manner
  • Recommends ways to improve the quality and delivery of services.
  • Maintains confidentiality of company and patient information.
  • Works calmly and professionally in stressful situations and reacts productively to change.
  • Maintains cleanliness and organization of work areas and patient waiting areas.
  • Assists in the creation and assembling of various print materials or reports.
  • Performs other duties as assigned.


Requirements:
  • High school diploma or GED is preferred.
  • Minimum of one (1) year experience as a receptionist
  • CPRS certification is preferred but not required
  • Excellent customer service skills
  • Basic computer skills including Microsoft (Outlook, Word and Excel)
  • Ability to operate various types of office equipment (copier, postage machine, multi-line switchboard, etc.)
  • Ability to problem-solve, analyze, and interpret information.
  • Ability to adapt to changing circumstances and patient needs in a fast-paced environment.
  • Ability to be open and culturally sensitive to a wide variety of patients’ experiences.
  • Excellent written and oral communication skills with the ability to effectively speak, read and write in English.
  • Ability to interact with co-workers in a collaborative and courteous manner while providing guidance, instruction, and training.
  • If recovering, one year of verifiable abstinence required with two years preferred; active participation in a twelve-step program preferred.

WORK ENVIRONMENT:

  • Position is in an office setting that involves everyday risks or discomforts requiring normal safety precautions.
  • Position requires frequent contact with people in crisis, including those who are emotionally volatile and may require additional safety precautions.
  • May perform CPR/First Aid as needed (being certified or eligible is preferred)
  • Position is subject to varying shifts
  • Ability to lift and/or push pull up to 50 lbs; move around campus on uneven and rural terrain.
  • Ability to speak, hear, see, sit, walk, stand, reach, and use fine/gross motor skills.
