Pharmacy Systems Manager

Overview of the Position:
Under administrative supervision of the Pharmacy AVP or Designee, the Pharmacy Systems Manager will be responsible for the support of the Pharmacy division. The incumbent will develop, train, and provide analysis and diagnosis of pharmacy systems to ensure we are operating adeptly while maintaining compliance with 340B rules, all state and federal pharmacy laws, and best practices for clinic and outpatient pharmacy services, including both owned and contract pharmacies.
Education and Experience:
• Associates’ or Bachelor degree preferred and/or High school diploma with technical certification in a relevant field (IT or Pharmacy) required
• Minimum of 3-4 years working in a pharmacy required
• State Certified Pharmacy Technician registration in good standing with SC Board of Pharmacy (up to date) required
• Minimum 3-4 years of experience in a health care environment (hospital, primary care practice, etc.) preferred
• Minimum of 3-4 years providing support for enterprise applications preferred
• Experience supporting EMR systems desired
Required Skills / Abilities:
• Must have a professional demeanor, appearance and be highly organized with strong attention to detail
• Must be a self-starter requiring little supervision
• Excellent written and oral communication skills
• Possess and demonstrate excellent customer service skills
• Ability to handle various tasks simultaneously while working efficiently, effectively, and independently

• Experience with supporting various pharmacy related systems (Pioneer, Parata, McKesson, , etc.), understand how IVR’s integrate with RX system
• Strong interpersonal skills to effectively interact with internal and external customers, physicians, and other healthcare providers from a variety of backgrounds and lifestyles while maintaining a non-judgmental attitude
• Must be able to set relevant goals, successfully train team, develop precise work assignments and scheduling employees to ensure exceptional customer service
• Ability to keep exceptional records
• Ability to be flexible with changing priorities, work volume, procedures, and variety of tasks.
• Proficient with Microsoft Office Suite specifically Excel, Word, Access, and Power Point.
• Knowledge of databases i.e., EMR (Electronic Medical Record) system. Experience with eCW (eClinical Works) a plus.
• Prior to performing job related activities in this position, one must understand company and program policies and procedures as well as be aware of HopeHealth’s mission, vision and values
Essential Job Functions:
Supervisory Responsibilities:
• Supports pharmacy inventory management for all sites
• Supports pharmacy shipping and delivery management for all sites
• Determines priorities, assigns, and regulates the routine work production performed by staff for all sites
• Assists in the development, implementation, and training of staff for pharmacy processes and procedures for all Pharmacy Technology and Automation for all sites
• Serves as the Point of Contact and liaison between IT Team and Pharmacy Department for all IT related projects and matters. Maintains accurate log of all current and past issues with specific details, updates, and timelines
• Available as needed for emergencies while not on approved PTO
• Attends weekly Pharmacy Committee Meetings with HopeHealth Leadership to support communication, planning and implementation of HopeHealth pharmacy service
Other Duties / Responsibilities:
• Provide support for in-house pharmacy application while working with IT
• Provide analysis and diagnosis of application issues and errors
• Work with application vendors on all application installations, support, and upgrades at all sites and serves as the primary contact for coordinating with all vendors
• Provide contract analysis to the pharmacy administration team and work with vendors on any necessary changes to agreements
• Provide support for inventory management/ordering for all sites
• Provide support for pharmacy shipping and delivery management for all sites
• Provide support for outreach and management of medication adherence for HIV/Hep C/PrEP patients
• Provide support for 340B ESP reporting issues
• Provide support for ECW research to qualify claims written by our providers and for referral prescriptions for in-house pharmacies as well as contract pharmacies
• Provide support for reporting financials and monthly stats
• Work with internal data team and Pioneer to develop a pharmacy dashboard for all pharmacy locations showing employee productivity and daily stats
• Monitor and analyze all pharmacy technology and automation equipment to proactively anticipate and resolve potential areas for concern to minimize future obstacles
• Maintains a professional image and exhibits excellent customer relations to patients, visitors, physicians, and co-workers in accordance with our Mission, Vision, and Core Values.
• Responsible for the operational aspects of the outpatient pharmacy technical support and maintains mastery over all current and future pharmacy technology and automation including, but not limited to, Parata, PioneerRx, ScriptClip, VOW, and all 340B Third Party Administrators.
• Ability to effectively communicate with users of diverse backgrounds and skill levels
Physical Requirements:
Hearing: Adequate to perform job duties in person and over the telephone. Speaking: Must be able to communicate clearly to patients in person and over the telephone. Vision: Visual acuity adequately to perform job duties, including reading information from printed sources and computer screens. Other: Requires occasional lifting and carrying items weighing up to 10 pounds unassisted in normal daily activities and up to 30 lbs. for other required work activities. Additionally, requires frequent bending, reaching, and repetitive hand movements (especially if keyboarding and writing), standing, walking, squatting, and sitting, with some lifting, pushing, and pulling exerted regularly throughout a regular work shift.
