Position Overview: We are seeking a Client Care Coordinator to join our team on a part-time basis with a hybrid work arrangement.

The mission for the Client Care Coordinator is paramount: to guarantee an exceptional and seamless client journey from the first point of contact to discharge. Integral to this role is overseeing billing and insurance claim handling. The role requires strong communication, organizational skills, and a commitment to delivering excellent customer service.

Moreover, proficiency in graphic design, social media management, and platforms such as Canva is highly desirable. These additional skills contribute to our holistic approach in crafting engaging client interactions and fostering an inclusive and distinctive online presence.

We seek an individual who not only excels in traditional administrative duties but also brings a creative flair and digital savvy to enhance our client engagement strategies.

Compensation:

$22 - $25 hourly

Responsibilities:

Client Consultations and Billing:

  • Conduct initial consultation calls with prospective clients to gather relevant information and assess their needs
  • Respond promptly and courteously to client inquiries, providing information about our practice, services offered, and scheduling availability
  • Schedule appointments for clients with appropriate therapists based on availability and client preferences
  • Manage all aspects of billing, including invoicing clients for services rendered, prepare and submit out-of-network insurance claims on behalf of clients and processing payments

Administrative Support:

  • Collaborate with therapists and administrative staff to ensure efficient scheduling and client coordination
  • Support efforts to collect data and make practice improvements with the goal of increasing client satisfaction
  • Assist with other administrative tasks and special projects as needed to support the smooth operation of the practice, such as organizing mail, supply tracking and ordering, managing staff’s utilization of office space, ensuring optimal utilization of office hardware, etc.

Lead Generation, Conversion and Tracking

  • Support the company lead generation efforts
  • Track inquiries and consultation conversion rates
  • Achieve a conversion rate of 40% from inquiry to intake
Qualifications:

  • Customer care experience
  • Billing experience
  • Experience tracking and interpreting data
  • Proficiency in graphic design, social media management, and platforms such as Canva is highly desirable

Schedule and Compensation:

  • This position is part-time, offering approximately 15-25 hours per week, with a hybrid work arrangement (combination of remote and in-office work)
  • Compensation will be competitive and commensurate with experience
