A DAY IN THE LIFE AS A CREDIT UNION COLLECTIONS CLERK

This position is responsible for providing administrative and clerical support to the Collections Department. Types and assembles letters, memos, e-mails and reports. Assists on inbound calls from members, branches and departments; answers questions and directs telephone calls and visitors. Prepares documents, reports and manages department data as needed. Assembles and maintains statistical data. Performs and oversees specific projects and programs as assigned by management. Performs general support for all functions within the Collections Department. This Position will be responsible for Performing the following duties:

  • Assumes responsibility for the effective performance of assigned administrative and clerical functions.
  • Updates and maintains daily, weekly, and monthly department reports
  • Assists with repossessions; valuations, billing, transportation of collateral, title requests, damage claims, and corresponding tracking logs
  • Assists with credit bureau disputes and updates
  • Assists with proper handling of legal items/documents, including garnishments, bankruptcy filings, communication with attorneys, receiving and forwarding documents from legal counsel
  • Assists with proper communication with all third-party vendors, including maintenance of any third-party reports, and providing needed documents to third party vendors
  • Assists in department communication, maintaining and updating department procedures, CHIP, H: drive folders, and taking minutes for any department meetings
  • Assists as needed with insurance member calls, questions, claims, verification and communication with insurance vendors
  • Assists with any other Collections Department functions as directed by Collection management.
  • Assumes responsibility for preparing and maintaining assigned records and reports.
  • Assembles, tabulates, calculates, and maintains reporting and statistical data on a regular and special basis.
  • Prepares documents and reports.
  • Assumes responsibility for maintaining effective business relations with clients, vendors, and other business professionals.
  • Resolves or appropriately refers questions, requests, complaints, and problems.
  • Obtains and conveys information as needed.
  • Promotes goodwill and conveys a positive image of the Company.
  • Assumes responsibility for establishing and maintaining effective working relationships with area staff and with management.
  • Assists other Collection personnel as needed.
  • Keeps management informed of area activities and of any significant problems.
  • Assumes responsibility for related duties as required or assigned.
  • Performs miscellaneous clerical and administrative tasks.
  • Performs special projects as assigned.
  • Ensures work area is clean, secure, and well maintained.

PERFORMANCE MEASUREMENTS

  • Department reports are consistently maintained
  • Repossession and collateral logs are consistently maintained
  • Legal requests and documents are handled promptly
  • Account notes, meeting minutes are accurate and informative
  • Inquiries are courteously attended to. Good business relations exist with outside professionals and with customers.
  • Telephone calls are courteously received.
  • Documents and reports are accurately produced and up-to-date. Files are well maintained.
  • Good communication and coordination exist with area personnel and with management. Assistance is provided as needed. Management is appropriately informed.
  • Secretarial support functions are well coordinated, directed, and efficient.
  • A professional image is projected and maintained.

Education

High school graduate or equivalent. Some college preferred.

Required Knowledge

Knowledge of word processing and spreadsheet applications.

Experience Required

One to three years of clerical, secretarial, or equivalent experience.

Skills/Abilities

Proficient typing skills. Good interpersonal and public relations skills. Solid analytical, creative, and problem-solving abilities. Project management skills and well organized. Able to work well independently. Able to assist, direct, and coordinate others.

BANKING WORK SCHEDULE FOR A COLLECTIONS CLERK

This full-time Collections Clerk position in member services offers a set scheduled shift of: Monday-Friday from 8:30am - 5:30pm.
