Summary / Objective:

Responsible for the data management and compliance reporting of training records using third party and or internal software systems. Working independently with projects to ensure that all employees have the required training assigned and completed for the project they will be working. Providing audits of records and reporting out any compliance gaps directly to the project and management. Assisting with the management, review, and development of training materials.

Job Responsibilities:

  • Enter new hires and existing technicians into appropriate OQ vendor systems and assign project specific tasks based on the work they will be performing.
  • Setting up project roles in vendor system specific to projects.
  • Maintain SharePoint sites containing employee training folders and OQ records for each project.
  • Manage the status of employees who have completed all required courses and tests.
  • Maintain documents and rosters by adding or archiving employees.
  • Maintain OQ vendor pricing sheets and schedules.
  • Assist operations with evaluator class information on request—prices, dates, times.
  • Provide copies of OQ records, reports, and other data as requested.
  • Provide information for bid requests as needed regarding OQ.
  • Annotate all OQ vendor invoices for accurate billing and provide annotated invoices to Accounts Payable for payment.
  • Request additional licenses as needed.
  • Upload Performance Evaluation Form (PEF) data as needed.
  • Reset testing and training in vendor systems as needed in compliance to training procedures.
  • Maintain all Project OQ lists on the OQ SharePoint site.
  • Run reports for each system for upload into the OQ database (via FTP)
  • Printing and shipping ID badges
  • Coordinating Gas Leak Academy classes, materials, and equipment
  • Assist the Training department and VP of field services with administrative needs.
  • Assist with maintaining, editing, and storage of training materials as needed.
  • All other duties as assigned.

Training Coordinator Requirements:

  • Attention to detail in all work.
  • Strong organizational skills and ability to multi-task.
  • Strong communication skills (verbal and written)
  • Adaptable to a changing environment – ability to remain flexible with schedule.
  • Strong collaboration skills – ability to work with members at different levels of the organization.
  • Proficient with Microsoft Office suite specifically with Word, Excel, and SharePoint.
  • Ability to become proficient in third party LMS systems and other programs.
  • Ability to interact professionally with all levels of management and external clients.
  • Ability to exercise independent judgment and work independently providing results.

Position Type / Expected Hours of Work:

This is a full-time position. Days of work are Monday through Friday. Occasional evening and weekend work may be required as job duties demand.

Travel:

Up to 10% - 20% of travel for training within the United States could be expected.

Work Environment:

The job would be performed in an office environment with the possibility of visiting projects and shadowing field personnel to gain knowledge of the work you would support.

If working remotely you would be required to maintain an acceptable workspace free from distractions and background noise that would impair the ability to have remote meetings.

Physical Requirements:

This position requires sitting for extended periods of time.

Education and Experience:

  • Minimum of a High School Diploma or GED equivalency.
  • BA/BS degree preferred but not required.
  • Experience in developing training material is preferred.
  • Experience within the utility industry specifically the natural gas industry is preferred but not required.
