Job DescriptionJob Description

General Position Summary: This individual, under the direction of the Business Manager provides and maintains the day-to-day Administrative duties of the Safe Environment Program.

Principal Accountabilities:

  • Attends Diocesan meetings on Safe Environment programs/issues on behalf of the Parish.
  • Updates and maintains Safe Environment database records, including criminal background checks, code of conduct compliance, filing system and required training.
  • Coordinates the scheduling of parish facilitated training programs.
  • Provides Safe Environment materials and support to the parish volunteers, Safe Environment training facilitators and staff.
  • Recruits and recommends new parish volunteer facilitators, pending pastor approval.
  • Notifies ministry supervisors of current volunteers retraining needs via email and/or direct mail, when their eligibility date is within 60 days of expiration.
  • Coordinates the Parish Safe Environment Program with the Diocesan Safe Environment Staff.
  • Supports the parish's compliance effort for the annual audit of the Safe Environment Program.
  • Conducts routine monitoring of the database for the current eligibility status for ministry and coordinates the Safe Environment training program.
  • Responsible for all other projects, tasks, etc., as assigned.

  • Support volunteers in their Safe Environment process
  • Create process that is easy for volunteer to access, understand, and initiate.
  • Create communication and expectation process for prospective volunteer/volunteer leader to receive communication on key steps in the process.
  • Establish and clearly communicate turnaround expectations on key steps of process.

  • Business Manager

  • Diocesan contacts for Safe Environment

Working Conditions and/or Physical Requirements:

  • This position works in a typical office environment subject to stress due to the evolving and quickly expanding business needs of the Parish
  • Ability to set and preform computer work for lengthy periods
  • Able to access and maintain centralized departmental files. Involves extending arms, bending, and reaching files stored in multiple places and levels.
  • Significant amount of time spent regularly answering and speaking on the telephone providing support and service to the parish while problem solving internally and externally.
  • Data entry via computer keyboard that requires repetitive and frequent hand and wrist movements

Travel Requirements:

  • Some travel required, up to 5 %.

Education and Experience Preferred:

  • Associates degree preferred with at least 1 – 2 years of administrative experience.
  • High level of competence with Microsoft Office Suite.
  • Good communication skills.

Knowledge and Skills Preferred:

  • Must be a practicing Catholic in good standing with knowledge of Catholic Church organization and function.
  • Bilingual Preferred
  • Ability to maintain the highest degree of confidentiality and professional discretion.
  • Proficient and professional in both oral and written communication in English.
  • Excellent telephone and interpersonal skills; ability to interact competently and compassionately with those who call or visit the department as well as with parish staff and volunteers
  • Ability to organize and multi-task.

FLSA Designation: Non-Exempt

Job Grade: Part Time
