Position Summary
The Office Manager oversees and implements all day-to-day business operations for the Department of Film, Theatre, and Creative Writing. FTCW has 23 full-time faculty and staff, 250 undergraduate students, and 30 graduate students. The department maintains three undergraduate degree programs and two terminal degree programs, which operate out of four buildings on the UCA campus.
Job Duties and Responsibilities
Fiscal Management of the department’s 8 university indexes and 16 procurement cards. Duties include:
-Reading and analyzing UCA Self-Service and Banner budget indexes
-Monthly Index and p-card reconciliation
-Tracking expenditures (Theatre expenditures are reported to accrediting agency annually)
-Execute budget transfers, purchase orders, change orders
-Manage foundation account fund requests and process numerous scholarships throughout the year
-Execute contracts and payments for students, guest artists, and other vendors
• Manage and execute travel arrangements including travel logistics, TR-1s, bookings, and documentation for students, faculty and staff, artists, interviewees, and guests
• Manage and execute hiring for faculty, lecturers, staff, 7-20 graduate assistants, ~20 work-study students, and ~20 UCA Summer Theatre personnel.
• Maintain knowledge of university procedures including cash handling, purchasing, and travel.
• Serve as a liaison between Human Resources, the Purchasing Office, the Accounts Payable Office, the Travel Office, and the Registrar’s Office
• Curriculum scheduling and enrollment management in Banner and Argos
• Coordinate scheduling in other buildings
• Maintaining internal room scheduling document
• Assist with inquiries regarding course schedules including registration and lifting holds
• Manage the departmental calendar
• Oversee and manage documents and information in departmental Google Drive
• Manage and maintain departmental paper documentation
• Coordinate and execute departmental scholarships
• Attend campus job and majors fairs
• Oversee departmental website
• Manage departmental key distribution
• Submit and follow up on work orders
• Serve as a building manager
• Maintain building bulletin boards
• Post events to program Google Classroom pages
• Oversee departmental event publicity
• Order, maintain, and organize office supplies and equipment
• Oversee mail distribution
• Manage the department calendar
• Schedule rooms and work with EMS to oversee reservations
• Schedule meetings for the department chair
• Assist with fundraising events
• Receive and respond to general inquiries
• Other tasks as assigned
• This position may require some evening and weekend work, particularly in the summer.
Knowledge, Skills, and Abilities
Must be able to work with Google Drive file management applications including Google Docs and Google Spreadsheets. A working understanding of accounting principles is crucial. Familiarity with UCA’s Banner system, Argos, and PeopleAdmin are all pluses.

Required Education and/or Experience
The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management.
