The Operations Property Manager (OPM) at Pearl will lead the day-to-day operations, budgeting, and reporting on variance explanations of the common areas at Pearl. The OPM will play a critical role in delivering exceptional experiences that animate the Pearl neighborhood, reinforcing the Pearl brand through effective operations and selection of partners.

Essential Functions:

Operational Management:

  • Oversee daily operations, ensuring services provided to tenants and guests are exceptional.
  • Ensure Pearl’s common areas are clean, well-maintained, and reinforce the Pearl brand.
  • Manage capital improvements in line with Pearl’s long-term capital plan.
  • Coordinate property logistics and communicate effectively about repairs, improvements, and disruptions.

Budgeting and Financial Reporting:

  • Lead the development of budgets for the common areas in conjunction with the accounting team.
  • Report monthly on budget variance explanations and support the reconciliation of project common area costs.
  • Oversee the completion of the annual audit and manage accounts receivable for common area accounts.

Vendor and Contract Management:

  • Develop scopes of work, solicit bids, evaluate proposals, and monitor contractor performance.
  • Conduct vendor contract audits, complete the RFP process, and recommend vendors for approval.
  • Manage service contracts for janitorial, landscaping, refuse collection, grounds maintenance, window washing, building access control, security, pest control, parking management, elevator maintenance, and signage.
  • Conduct periodic inspections of the buildings and associated grounds using property scorecards, review results with appropriate vendor or team member, preparing written report as needed. Oversee action to correct janitorial and maintenance deficiencies noted during these inspections.

Parking Operations:

  • Manage day-to-day parking operations, including oversight of the parking management vendor.
  • Support the development and installation of parking signage and wayfinding.
  • Maintain and update the Pearl parking model and register associate and tenant parkers.

Sustainability Initiatives:

  • Oversee the food waste program and manage the composting vendor.
  • Lead sustainability initiatives, including reclaimed water and solar usage, ensuring compliance with applicable regulations and Pearl’s Master Plan.
  • Report monthly on Pearl’s sustainability efforts.

Vendor and Community Relations:

  • Serve as the primary point of contact for common areas, addressing tenant and guests needs and concerns promptly.
  • Foster a sense of community among vendors and on-site staff through events, communications, and feedback mechanisms.
  • Manage special projects such as holiday decor installation, storage needs, and site activations.

Leadership and Communication:

  • Take immediate action to resolve property maintenance concerns and after-hours needs with the Facilities team.
  • Guide and direct the Property Management and Accounting team, ensuring timely and accurate invoicing and reporting for the common areas.
  • Create a system to audit response times and resolution of Property Management and Facilities concerns.

Crisis Management:

  • Assist Property Management and Security in the implementation of emergency preparedness plans and conduct regular safety drills.
  • Coordinate with local authorities and emergency services during crises.

Qualifications:

  • Bachelor’s or Associate degree or equivalent experience in a related field.
  • Minimum of 4 years of commercial real estate experience.
  • Proven experience in budgeting and financial management.
  • Certified Property Manager (CPM) or other designation is a plus.
  • Strong interpersonal, leadership, and customer service skills.
  • Proficiency in property management software and Microsoft Office Suite.
  • Ability to multitask, prioritize, and manage time effectively.
  • Strong problem-solving skills and attention to detail.
  • Physical ability to inspect all areas of the property.

Working Conditions:

  • Full-time position with occasional evening and weekend work.
  • On-call availability for emergencies.
