Job Description:


Do you have a keen eye for detail and a knack for finding the best deals? Are you passionate about building strong relationships with vendors? If so, then a Purchasing Specialist role might be the perfect fit for you


In this critical position, you'll play a vital role in ensuring our company acquires the necessary supplies, materials, and services at the most competitive prices. You'll work closely with internal departments to understand their needs, source and evaluate potential vendors, negotiate contracts, and manage the purchasing process from start to finish.


Requirements:

Requirements & Essential Functions:

  • Needs Assessment & Sourcing:
    • Collaborate with internal departments to identify and understand their purchasing requirements.
    • Research and identify qualified vendors based on quality, pricing, and reliability.
    • Request quotes and proposals from potential vendors, ensuring all specifications are met.
  • Vendor Management & Negotiation:
    • Evaluate vendor proposals, comparing pricing, terms, and delivery schedules.
    • Negotiate contracts with vendors to secure the best possible terms and conditions for the company.
    • Build and maintain positive relationships with key vendors to ensure smooth communication and reliable service.
    • Assist with Vendor maintenance in ERP system.
  • Purchasing Process Management:
    • Create and process purchase orders, ensuring accuracy and compliance with company policies.
    • Track purchase orders and deliveries, following up with vendors as needed.
    • Monitor inventory levels and initiate re-ordering processes to maintain stock availability.
    • Review purchase requisitions for accuracy and completeness.
    • Ensure compliance with company procurement policies and procedures.
  • Analysis & Improvement:
    • Analyze purchasing data to identify areas for cost savings and process improvements.
    • Research and recommend new purchasing strategies and technologies to optimize efficiency.
    • Stay up-to-date on market trends and identify potential cost-saving opportunities.
    • Prepare procurement reports for management review.

Qualifications:

  • Minimum 2-3 years of experience in purchasing or a related field.
  • Strong analytical and problem-solving skills.
  • Excellent communication, negotiation, and interpersonal skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with a complex ERP system, NetSuite preferred
  • Ability to prioritize tasks, manage deadlines, and work independently.
  • Strong attention to detail and a commitment to accuracy.

Physical Demand & Work Environments:

  • Ability to stand, sit, use of hands to handle, or feel, reach with hands and arms.
  • Ability to lift and/ or move up to 25 pounds.
  • Ability to squat, bend, twist, push/pull.
  • Ability to sit for long periods.
  • The noise level in the work environment is usually moderate, however, during events the noise level may be loud.
  • This position is based in-office Monday through Friday, with the possibility of working major event weekends.
