The Registrar will play a crucial role in the operations of the Illinois Virtual Schools and Academy, ensuring seamless communication and support across various stakeholders. This position involves managing phone communications, building and maintaining partnerships, facilitating enrollment processes, and providing essential support for the Maestro system. The ideal candidate will be a highly organized and detail-oriented individual with excellent interpersonal and communication skills.

Start Date: Part-Time Position (20-25 Hours/Week) to begin July 1, 2024

*Must reside in Illinois*

ESSENTIAL FUNCTIONS:

  • Phone Communication: Handle incoming and outgoing phone calls, providing accurate information and assistance to students, families, and school partners.
  • Partnership Development: Develop and maintain strong relationships with educational partners and institutions, fostering collaborative efforts and mutual support.
  • Student and Family Communications: Act as the primary point of contact for students and families, addressing inquiries, providing guidance, and ensuring a positive experience throughout the enrollment process.
  • Enrollment Assistance: Assist families and school representatives in navigating the enrollment process, collecting student records and documents, offering support and troubleshooting any issues that arise.
  • Liaison for School Registrars: Act as the main liaison for school registrars, ensuring institutional processes are streamlined and effectively managed.
  • Maestro System Support: Provide crucial support for the Maestro system, particularly in the areas of enrolling students and managing invoicing tasks.
  • Additional Responsibilities:
    • Maintain confidentiality concerning all student information and any professional matters.
    • Utilize effective time management.
    • Assist with school events, including in-person onboarding, teacher training, and school outings.
    • Actively participate in school staff meetings, committee meetings, and professional development events.
    • Other duties as assigned.

QUALIFICATIONS:

  • IL Residency is required.
  • Bachelor's Degree.
  • Outstanding school-related customer service experience required.
  • Experience working in Student Information Systems.
  • Minimum of one year of data entry, records management, or equivalent experience required.
  • Minimum of one year of school admissions or retention experience preferred.
  • Excellent oral and written communication skills.
  • Proficiency in computer applications, including Google Docs, MS Office Suite, email, and internet applications.
  • Ability to work well under pressure as well as effectively prioritize and execute tasks to meet deadlines consistently.
  • Understanding of and ability to manage confidential information.
  • Ability to travel and possess own reliable transportation.
  • Ability to work flexible hours that may include some evenings and weekends.
  • Ability to pass state and federal background checks.
