We are seeking a full time Client Relations Assistant to join our Intake team in Milton.
This is not a remote position so the candidate will need to live within commuting distance to the office.

Reporting to the Lead Referral Manager, the Client Relations Assistant is tasked with a variety of administrative duties and quality control functions to help ensure the best experience for all of the firm’s referrals, clients, and attorneys. This includes, but is not limited to, facilitating communication and following up with all relative parties, confirming intake data for quality control, generating reports, and responding to requests. Qualified candidates will have strong data entry skills and attention to detail.
Duties Include:
- Facilitating communication with the firm’s attorneys and their staff regarding intakes, referrals, and new clients
- Following up with attorneys, their staff, potential clients, and external referral sources
- Confirming intake and system data is accurate to ensure excellent quality control
- Responding to requests and inquiries with system information
- Running reports and producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text and data
- Providing direct support to the Lead Referral Manager’s calls, incoming and outbound scheduling, and calendar maintenance
- Using problem solving skills to immediately fix issues that arise in the process
- Working in a team-based environment which includes covering for other members of the team and assisting on projects and tasks as a unit
- Maintaining client confidence by keeping client/attorney information confidential
- Enhancing the reputation of the department and the organization by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to the position
- Maintaining reliability and flexibility to adapt to a variety of duties and an ever-evolving role
Qualifications:
- High School diploma or equivalent
- Bachelor’s degree in Legal Studies or related field is a plus
- Multi-lingual abilities are a plus
- Strong phone, typing, and computer skills are a must
- Experience with Microsoft Office 365 and Outlook is required
- Ability to interact professionally and appropriately with clients, co-workers, attorneys, and others
- Must be reliable, flexible, and teamwork oriented in order to adapt to changes in the role and the variety of duties required each day
- Must be energetic, well organized, detail oriented, and have the ability to multi-task
- Must possess and demonstrate exceptional customer service skills, and the ability to handle situations with tact and diplomacy; experience working in the hospitality or service industry is strongly preferred
- Ability to work in a high intensity, high stress environment handling a multitude of duties
- Eagerness to learn, inquisitive, and the ability to learn quickly
- Excellent verbal and written communication skills
- Excellent problem-solving, analytical, and evaluative skills
