SUMMARY: The Quality Improvement/Compliance Specialist supports a variety of functions essential to the UIHS Compliance and Quality Services section. These functions include processing client complaints, incident reports, and medications errors. This position provides assistance to the Quality Improvement Manager and Chief Compliance and Privacy Officer with administrative functions and special projects. The Quality Improvement/Compliance Specialist will report directly to the Quality Improvement Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Schedule and coordinate Quality Improvement Committee, Compliance Committee, Accreditation Committee, and other related meetings and trainings.
  • Prepare and distribute meeting agendas and related documents.
  • Record, transcribe, and prepare meeting minutes.
  • Assist in gathering data and other information and preparing reports.
  • Assist in the development and coordination of UIHS policies and procedures.
  • Facilitate the tracking, review, updating, editing, publishing, and maintenance of policies and procedures in an electronic system.
  • Receive and process all client complaint, incident report, and medication error forms.
  • Receive client complaints via telephone calls and in-person as needed.
  • Enter information from client complaints, incident reports, and medication errors into an electronic tracking system and assign follow-up tasks to appropriate managers and supervisors.
  • Ensure complete documentation is received and processed for all client complaints, incident reports, and medication errors.
  • Assist in the coordination and administration of Client Experience Surveys.
  • Receive and enter data from the Client Experience survey into an electronic tracking system.
  • Assist department managers/directors as assigned with QI projects, including providing assistance with project tracking and documentation.
  • Assist with data validation and cleaning strategies and methods to ensure accurate and reliable data is being used for Quality Improvement and Compliance functions.
  • Assist in gathering and tracking information for compliance investigations.
  • Assist in researching clinical and compliance best practices, laws, regulations, and accreditation standards.
  • Assist in the coordination of accreditation readiness, including compiling and maintaining files related to UIHS policies and procedures and accreditation standards.
  • Compose and type routine correspondence and other documents as required.
  • Assist with the filing and maintenance of confidential correspondence and documentation.
  • Answer calls and provide information to callers or route calls to appropriate persons in a professional and empathetic manner.
  • Attend meetings as assigned.
  • Create and maintain spreadsheets as appropriate.

SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities.

EDUCATION/EXPERIENCE: Educational degrees must be from a US Department of Education accredited school.

Level I:

  • Associate’s degree in a related discipline and one (1) year of direct healthcare quality improvement and compliance experience; or
  • Two (2) years of direct healthcare quality improvement and compliance experience; or
  • Three (3) years of executive level administrative assistant experience in a healthcare setting.
  • Prefer some knowledge of clinical best practices, regulatory requirements, and accreditation processes.
  • Education beyond an Associate’s degree may substitute for some years of experience.

Level II:

  • Associate’s degree in a related discipline and three (3) years of direct healthcare quality improvement and compliance experience; or
  • Four (4) years of direct healthcare quality improvement and compliance experience; or
  • Five (5) years of executive level administrative assistant experience in a healthcare setting.
  • Prefer some knowledge of clinical best practices, regulatory requirements, and accreditation processes.
  • Education beyond an Associate’s degree may substitute for some years of experience.

COMPUTER OPERATIONS

  • Demonstrated proficiency with all MS Office applications including; Word, Excel, and PowerPoint.
  • Knowledge of NextGen and other internal systems preferred.
  • Ability to operate standard office equipment (copier, fax, etc.)

LANUGUAGE SKILLS:

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and governmental regulations.
  • Ability to write reports and business correspondence.
  • Ability to effectively present information and respond to questions from groups of managers, clients, and the general public.

MATHEMATICAL SKILLS:

  • Ability to apply concepts such as fractions and percentages to practical situations.

REASONING ABILITY:

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Strong aptitude for critical thinking.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Possess a valid driver's license.
  • Must be able to be covered by agency's vehicle insurance.
  • Must have or be able to obtain American Heart Association BLS certification within six (6) months of hire and maintain such.

OTHER SKILLS AND ABILITIES:

  • Strong interpersonal skills and ability to work with people at all levels within UIHS.
  • Ability to manage multiples tasks and shifting priorities.
  • Detail oriented, able to work well under pressure, independently, and set priorities.
  • Must be able to work with American Indian people and be sensitive to their needs and culture.
  • Excellent verbal and written communication skills.
  • Comply with all safety policies, practices, and procedures.
  • Participate in proactive team efforts to achieve the Mission, Vision and Guiding principles of UIHS.
