Project Accounting Coordinator

Specialized Real Estate Group is seeking an experienced accounting professional to join our team in the role of Project Accounting Coordinator. Reporting to the Director of Finance, this role will be responsible for all aspects of development and construction project accounting. The ideal candidate will have an understanding of and experience with owner and contractor AIA billings, construction payables, project cost accounting and a general understanding of budgets.
Key Duties and Responsibilities:
- Development and construction accounts payable – manages consultant and contractor payment applications, including reviewing and coding all invoices and review for conformance with contract documents; processes all overhead and other project-related invoices throughout the month.
- Researches and resolves invoice discrepancies.
- Routes all invoices and other documentation for appropriate approval and/or signatures as required.
- Ensures timely payments to vendors.
- Produces monthly draw requests for development projects - including compiling all necessary backup documentation and validating draw for conformance with loan agreements and equity partner agreements when applicable. Ensures funding receipts are deposited and/or transferred as needed to meet the payment obligations for all development projects.
- Responsible for collecting, logging, and verifying all required lien waivers from subcontractors and their suppliers.
- Sets up commitments, processes change orders and monitors billing progress.
- Collaborates with Development and Construction teams to maintain and monitor project budgets.
- Performs cash management functions for multiple entities/projects.
- Attends various project meetings as required.
- Maintains accurate records and uploads supporting documents for all transactions.
- Monitors vendor insurance records at the project level.
- Assists as necessary with routine general ledger closing and account reconciliation functions.
- Maintains confidentiality at all times.

- High School diploma required. Bachelor’s or associate degree in accounting, finance or similar field preferred.
- 3+ years of general accounting or accounts payable experience required, development/construction or real estate accounting experience a plus.
- Proficiency with Microsoft Excel is a must.
- Prior experience with Sage Intacct accounting software preferred.
- Ability to manage multiple, simultaneous priorities, achieving results under tight deadlines without close supervision.
- Collaborative style with ability to work cross-functionally onsite, or in a remote environment.
- Strong interpersonal skills and professional verbal and written communication skills needed to interact with groups internally and externally, including senior leadership.
- Strong quantitative and analytical skills and demonstrated resourcefulness.
- Highly organized with keen attention to detail.
- A reliable self-starter with the ability to work independently and within a team.
